Setting an Event Date
Cutoff eligibility in Event, Time+Event, and Interval+Event cutoff instructions depends on event date(s). A record folder is associated with:
- Event cutoff instruction: Eligible for cutoff on the critical event date.
- Time+Event cutoff instruction: Eligible for cutoff at the end of the time period containing the critical event date.
- Interval+Event cutoff instruction: Eligible for cutoff a certain number of months after the critical event date.
Setting all event dates implicitly closes a record folder. Event dates can still be changed or unset before a record folder is cutoff, though changing the critical event date can also change a record folder's cutoff eligibility date. Learn more about closing record folders.
Note: Event dates can only be set on record folders.
Setting or unsetting an event date requires the Set Event Date entry access right.
To set an event date

- Select the record folder you want to set an event date on. You can only set an event date on a record folder associated with an Event, Time+Event, or Interval+Event cutoff instruction.
- From the Record menu, select Record Management Actions.
- In the Record Management Actions dialog box, select the Set Event Date option from the list on the left.
- In the list of possible events, select an event and click Set Event Date to open a calendar. Select a date and click OK.
- Click Done.

- Select the record or record folder you want to cut off.
- Select the More Actions button and point to Records Management.
- Select Set Event Date.
- Set one or more event dates and click OK.
To unset an event date

- Select the record folder you want to unset an event date on. You can only unset an event date for a record folder associated with an Event, Time+Event, or Interval+Event cutoff instruction.
- From the Records menu, select Record Management Actions.
- In the Record Management Actions dialog box, select the Set Event Date option from the list on the left.
- In the list of possible events, select an event and click Unset Event Date to clear the event date.
- Click Yes if prompted to confirm the unset event date action.
- Click Done.

- Select the record or record folder you want to cut off.
- Select the More Actions button and point to Records Management.
- Select Set Event Date.
- Delete the existing event date and click OK.
