Offline Tasks

The Laserfiche app can automatically download copies of forms tasks offline. This lets users view and complete tasks when not connected to cellular service or Wi-Fi.

Note: Forms version 10.2 is required for automatic download.

Example: Sam is on a business trip and needs to approve travel requests while he's on the road. Any time his device is connected to Wi-Fi, and he's signed into a Laserfice Forms server via the Laserfiche app, all travel request tasks assigned to him will automatically download to his Tasks Inbox on his device. When he's on a plane without Wi-Fi, he can view all the travel request tasks assigned to him and approve or deny them. The tasks will be sent to his Tasks Outbox and will automatically be uploaded when his device is connected to Wi-Fi and he's signed into the Laserfiche Forms Server.

Note: If you are connected to a Laserfiche Forms server version 10.2 or later, an administrator must select the Save form offline on the Laserfiche app device option in Laserfiche Forms to allow forms to be saved offline.

Note: Saving copies of tasks offline does not remove them from your Forms server.
Note: Offline tasks will have "Offline" appended to their title when open.

All tasks assigned to a specific user and contain a form configured in Laserfiche Forms to be saved offline, will automatically download to that user's mobile device when they sign into the Laserfiche Forms server. If a change is made to an online task, the change will be automatically synced to the offline task and vice versa once the user signs into the Laserfiche Forms server or syncs the changes manually. Additionally, if an offline task is completed or reassigned online, the offline task will be removed from the device unless a user turns off the option to automatically remove the task from the device when signing into the Laserfiche Forms server again.

Note: If tasks are not downloaded or synced automatically, ensure the Sync online/offline entries and drafts and Save forms, tasks, and drafts offline upon signing in options are enabled under Settings.

  1. Press My Tasks in the Forms inbox in the menu on the left. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. All tasks will be listed under Open and can be sorted using the column header at the top by the date they were assigned or completed, the due date, priority (urgent, high, medium), the user who started the process, the process name, or the team the process is assigned to. Long pressthe task you want to save offline and press Save Offline Copy.To select multiple tasks, select the checkbox next to each one, press the More Options button in the top right, then press Save Offline Copy.You can search for a task by pressing the search button in the top right.

Note: If an offline task is outdated (i.e., its online task was completed), you will have the option to keep or remove the outdated offline task under Settings.

If the Sync option under Settings is enabled, tasks and processes will be automatically synced to their offline/online counterparts once the user signs into the Laserfiche Forms server. To manually sync the tasks and processes

  1. Press Tasks under Offline Copies, and make sure the Inbox tab is selected.The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. Press the Sync button at the top of the page . All tasks and processes will be synced. To sync a single draft,long press the draft and select Sync. You will see a message indicating the tasks are syncing.
  3. If there is a conflict, for example, both the online and offline draft has been modified, the user will be presented with an option to use the offline copy, online copy, or not sync the drafts and keep both copies.

Note: Task drafts are appended with the word Draft. Everything else is a form draft.

Note: The option to sync tasks is only available when connected to a Laserfiche Forms Server 10.1 or later.

  1. Press Tasks under Offline Copies in the menu on the left. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. The offline tasks will be listed under Inbox and can be categorizedusing the column header by the date they were assigned or completed, the due date, priority (urgent, high, medium), the user who started the process, the process name, the team the process is assigned to, or the Forms server.
  3. Press a task you want to complete or view more information about. If you save the task, it will be saved under Drafts. If you complete the task, it will be sent to the Outbox in preparation for automatic upload. Once you connect the device to Wi-Fi or cellular data, and re-sign into the Forms server via the app, the submitted tasks will be uploaded automatically.
  4. If the task has a form field that has been configured as a lookup field, the lookup table for that field will be downloaded and available when the task is saved offline. Pressing in the field will display the available values. Selecting or typing a value will auto-populate the appropriate form fields.

    Note: Offline lookup tables are updated each time the app signs in to the appropriate Forms server. To manually update the table, long press the task and select Update related lookup tables. Offline table data can be managed under Settings.

    Note: Offline lookup tables are only supported on Android 5.0 and later.

  5. Close the task by pressing the X at the top.

    Note: You can also access offline tasks by pressing Offline mode on the Laserfiche app home page.

    Note: If Upload using Wi-Fi only is turned on, the device must be connected to a Wi-Fi network to automatically upload offline tasks. Additionally, the app must be signed in to the task's original Forms server for it to be uploaded successfully. Offline tasks in the upload queue will not be automatically uploaded using cellular data. Users still have the option to manually select and upload tasks using cellular data, even if this option is selected.

  1. Press Tasks under Offline Copies from the menu on the left. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. Press Drafts to access the offline tasks that have been saved as drafts. Tasks that have been saved as drafts will have the word "Draft" next to them. The other items listed are offline form drafts.
  3. Press the column header to sort the submissions by their server or when they were last modified.
  4. Press a draft to view or complete it. Press the appropriate button to complete the task. Once you connect the device to Wi-Fi or cellular data, and re-sign into the Laserfiche Forms server via the app, the completed task will be uploaded automatically.

    Note: Offline lookup tables are available when completing task drafts. Offline lookup tables are only supported on Android 5.0 and later.

    Note: Certain JavaScript in an offline task draft submission will not work. See KB 1013847 for more information.

If the Sync option under Settings is enabled, task drafts saved online will automatically be synced to their offline counterparts. They will also be synced online/offline if you sign out and back in to the Laserfiche Forms server. To manually sync the drafts

  1. Press Tasks under Offline Copies, then Drafts from the Forms section in the menu on the left. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. Press the Sync button at the top of the page . All drafts will be synced. To sync a single draft, long press the draft and select Sync. You will see a message indicating the drafts are syncing.
  3. If there is a conflict, for example, both the online and offline draft has been modified, the user will be presented with an option to use the offline copy, online copy, or not sync the drafts and keep both copies.

Note: Task drafts are appended with the word Draft. Everything else is a form draft.

  2. Press Outbox to access the offline tasks that have been submitted and are waiting to be automatically uploaded.
  3. Press the column header to sort the submissions by their server or when they were last modified.
  4. Press a submitted task to view it. Once you connect the device to Wi-Fi or cellular data, and re-sign into the Laserfiche Forms server via the app, the completed task will be uploaded automatically.

Note: If an offline lookup table's online version changes, the values in the offline table will be submitted, not the updated online values. The app will not automatically update the offline lookup table's values. Offline lookup tables are only supported on Android 5.0 and later.

Note: If JavaScript in an offline task draft submission does not work, see KB article 1013847.

  1. Follow the instructions above to view the offline form submissions.
  2. Select the checkbox(es) next to the submissions you want to remove.
  3. Press More Options More Options button at the top right, then press Discard. You can also long press the submission to access the Discard option.

Tasks that have been submitted to the upload queue will be listed under Outbox, and automatically uploaded once the device is connected to the Laserfiche Forms server via the app. If there are any upload issues, you can upload the task submission manually.

  1. Follow the instructions above to view the offline form submissions.
  2. Select the checkbox(es) next to the submissions you want to upload.
  3. Press More Options More Options button, then press Upload. You can also long press the submission to access the Upload option.
