Adding Documents to a Link Group
You can add a document to a link group by importing new content or by selecting an existing document in the repository. Both methods can be performed in the Links tab of the Metadata dialog box in the folder browser, or in the Links tab of the Metadata Pane in the document viewer.
Note: Folders and shortcuts cannot be added to a link group. Only documents can be members of a link group.
Adding a document to a link group by importing content into the Laserfiche repository behaves the same as any other document import, allowing you to specify a name, location, and other information about the imported document. It will also respect your New Document options.
Selecting an existing document as a new member of a link group will mark it as the latest member of that link group. In the following situations, you will need to make a choice about how the document will be handled:
- When the selected document has already been designated as a member of another link group, you will be prompted to choose either to move it to the new link group or to leave it in the original group. A document may only be in one link group at a time.
- When you select a document that is already a member of the current link group, you will be prompted to decide whether to leave the document at its current position in the link group (retaining its current link group number) or move it to the last member of the link group (changing its link group number to the latest number). The same document cannot have two link group numbers.
Important: Changes to link groups will be applied immediately.
To add a document to a link group
In the Laserfiche Windows client
- Open the Metadata dialog box or Metadata Pane for any document.
- Select the Links tab and then select Link Group.
- Perform one of the following:
- To designate an existing document as a new member of the link group, click New Link. In the New Link dialog box, browse to the folder containing the document to add to the link group, select it, and click OK.
- To import content as a new member of the link group, click Import New Link. In the Import New Link dialog box, browse to the folder containing the file to be imported into the link group, and click Import. Unless you have chosen not to display the Import Document dialog box, it will open and allow you to customize the document's name, location, volume, field and template information, tag information, and signatures.
- Optional: In the New Link dialog box, add a comment about this new link group member.
- Click OK.
In the Laserfiche web client
- Open the Metadata dialog box or Metadata Pane for any document.
- Select the Links tab and review the Link Group section.
- If the document is not yet a member of a link group, no link group information will be listed. There are two ways to add a document to a link group: by adding another document in the repository to this document's link group, or by importing a document as a member of this document's link group.
- To add another document in the repository to this document's link group:
- In the Link Group section, click Add Document.
- Browse to the document you want to add to this document's link group and select it.
- Optional: Type a comment in the Comments box.
- Click Select. Your link group will be created, with your current document as the first link group member and the document you selected as the second link group member.
- To import a document and add it to this document's link group:
- In the Link Group section, click Import Document.
- Browse to the document you want to add to this document's link group and select it.
- Optional: Type a comment in the Comments box.
- Click Select. Your link group will be created, with your current document as the first link group member and the document you selected as the second link group member.
