Text Search
The Text search enables users to search through the text of a document for a word or phrase. This is called a "full-text" search. In order to perform a full-text search, the document’s text must be indexed. Although documents whose text has not been indexed can be found through other types of searches, users should strongly consider indexing those documents.
There are two types of full-text searches: basic text searches, the simplest way to perform a search, where you enter information into fields and boxes; and advanced text searches, where you type in a complex search string, which gives you more searching flexibility.
To perform a full-text search
- In the Search Pane, click Select a search type and select Text from the menu. If it is not in the menu, click More... to open the Search Attributes dialog box to add it. You can also click More... next to Select a search type.
Note: By default, the Text search is in the Select a search type menu.
- Type the word or phrase you want to search in the text box.
- Select one of the following from the drop-down menu
- Phrase: Allows you to search for a single word or phrase.
- And: Allows you to search for all documents that contain two specified words or phrases. Use the second text box that appears when selecting "and" to enter a second word or phrase.
- Or: Allows you to search for all documents that contain one of two specified words or phrases. Use the second text box that appears when selecting "or" to enter a second word or phrase.
- Not: Allows you to search for all documents that contain the first specified word or phrase, but not the second one (in the second text box).
- Within: Allows you to search for all documents that contain both specified words or phrases within a particular number of words of each other.
- Click Search.
Note: Text searches are not case-sensitive. A search for "TrAnsportatioN" will produce the same results as "transportation."
All text searches support the Fuzzy search option, which allows you to find all words or phrases that are similar to the word or phrase you typed, even if they contain misspellings or OCR errors.
When using the fuzzy search feature, the degree of accuracy is determined by the number of letters or by the percentage of each word in the phrase. Specify the maximum number of letters that each word in the phrase can differ from the specified criteria and still be considered a good result or specify the percentage of each word in the phrase that can differ from the search criteria and still be considered a good result.
Fuzzy searches take significantly more time. To perform faster searches, use a regular full-text search, and only use the Fuzzy search option when you can’t find the documents you want. If you are not sure of the exact content in the documents or the image quality of your scanned documents is poor, use the fuzzy search, so your list of search results is as complete as possible.
- To configure the Fuzzy search option, click on Fuzzy is ON or Fuzzy is OFF in the Text search. Search options will be displayed.
