Updating an Electronic File

You can update the content of an electronic file by opening the associated electronic document in its native application, making the necessary changes, saving them, and closing the document. How the document will be handled after that depends on your document viewing settings.

Note: If you are working with Microsoft Office documents, such as .doc files or .xls spreadsheets, you will have a variety of options for saving your electronic documents. See Working with a Microsoft Office Document for more information.

In Options: View: Open With, you can choose whether to open electronic documents directly. If you have selected the Open files directly (using WebDAV) option, your changes will be saved directly to the repository when you save the file.  If the document is under version control, they will be saved as new versions; if not, the changes will be applied directly to the document.

If you have not chosen that option, your changes will be cached locally, and you will be able to choose how to handle the modified version. You can choose to save as a new document or as a new version, to overwrite the existing document, or to discard your changes. If you save as a new document, all of your changes will be saved to the new document, leaving the original document unchanged. If you save as a new version, your changes will be saved in a new latest version of the document, and the original document will be retained in the version history.(If the document is not yet under version control, selecting this option will place it under version control.) If you overwrite the original file, the original electronic file will be replaced with a version containing your changes. If you discard your changes, you will lose all changes made to it and the original electronic file will not be modified.

Note: If the document is a member of a link group and is not under version control, you will also be able to save it as a new document in the link group.
