Default Laserfiche Snapshot Printer Settings

The available printer settings are divided into categories: Device Settings, File Formats, Watermark, Embed Annotation, Bates Numbering, and Profile Manager. These printer properties may be accessed from multiple places. Where you access the properties determines the scope that your changes will have. I.e., some printer properties dialog boxes only affect the current print job, while others affect the default settings for all future print jobs.

Accessing Printer Properties

To view printer settings for the current print job

  • Laserfiche Snapshot Properties: Configures Laserfiche Snapshot printer settings for the current print job. This dialog box can be opened by clicking Printer Properties from the Print dialog box. The Print dialog box appears when printing a file.
  • Printing Preferences: Configures Laserfiche Snapshot printer settings for the current print job. This dialog box can be opened by clicking Preferences from the Print dialog box. The Print dialog box appears when printing a file.

To view default Snapshot printer settings for the current user when printing locally

  1. Open the Laserfiche Snapshot Configuration (Current User) dialog box.
  2. If the Repository Login dialog box appears, log in to the desired Laserfiche repository.
  3. Click Preferences from the General tab. The Laserfiche Snapshot Printing Preferences dialog box will appear.

or

  1. Open the Windows Devices and Printers.
  2. Right-click Laserfiche Snapshot and click Printing Preferences.

To view default Snapshot printer settings for new Snapshot users

  1. From the Control Panel, open Devices and Printers.
  2. Right-click the Laserfiche Snapshot printer and select Printer properties.
  3. Click the Advanced tab of the Laserfiche Snapshot Properties dialog box.
  4. Click Printing Defaults. The Laserfiche Snapshot Printing Defaults dialog box will appear.

Bates Numbering

You can configure Laserfiche Snapshot to print a Bates number, a sequential number that can be preceded by a line of text, on every image generated. You can customize the text content, as well as its transparency, position, orientation, and font (including color).

Tip: The Preview Bates Numbering option displays a text preview of a sample Bates number. Use this preview to ensure the currently selected options will produce the desired result.

To imprint Bates numbers by default

  • Enable Bates numbering: Enables the printing of identifying Bates Numbers.
    • Select existing Bates number configuration: Choose from a list of a saved collection of Bates Numbering settings.
    • New Bates Format: Saves the current settings as a new saved configuration.
    • Use prefix: Specify a prefix for the number. (If this option is cleared, only the number will be used.)
    • Start numbering at: Specify the first number that will be used in numbering.
    • Mode: Specify whether the Bates number will be transparent or opaque. A transparent background allows the content behind the Bates number to be visible; an opaque background ensures the Bates number is clearly recognizable.
    • Start numbering at number in case of every printing: Selecting this option will begin every print job at the specified number, and will reset to that number with each new print job.
    • Font: Specify the font that the numbers and prefix (if any) will be printed in.
  • Padding Characters: Padding characters expand the number to a certain number of characters. For instance, if the padding character is 0 and the minimum length is 5, a value of 1 would be printed as 00001.
    • Minimum length including padding characters: The minimum length of the number once its padding has been applied.
    • Padding character: The character used to pad the number to the minimum size.
  • Preview Bates Numbering: Displays the numbering as configured above.
  • Position on the page: Where the Bates number will be placed. In addition to determining the general position on the page, you may specify an offset value to fine-tune the Bates number location and enter the amount of rotation (in degrees) to be applied
  • Text Color: The color used for the Bates number by either entering the exact RGB value or browsing to select a color by clicking Color Palette.

Profile Manager

Profiles allow you to quickly switch between different sets of preconfigured settings by selecting them from the Select and use an existing profile option on the Profile Manager tab of the Laserfiche Snapshot Printing Preferences dialog box.

Example: You may want to print your official and personal documents differently. By setting up profiles with the appropriate settings for each, you can simply select the correct profile at print time. This way, you won’t have to manually configure all the options each time you print a document.

  • Add Current Settings as a New Profile. The Add new profile dialog box will appear.
    1. Under Enter the name for the new profile, enter the name by which you will identify the set of settings being stored.
    2. If desired, enter a description in the Enter a brief description of the profile option.
    3. Click OK.
  • Delete an existing profile: Delete an existing profile. Opens the Delete Profile dialog box where you can select the profile to be deleted.
  • Export a profile to a file: Export an existing profile to your computer. Opens the Export Profile dialog box box where you can select the profile to be exported and where it will be saved.
  • Import a profile from a file: Import a profile stored on your computer. Opens the Open dialog box where you can find and select the desired profile.

Redirect Printing

From the Laserfiche Snapshot Printing Preferences dialog box, you can specify a printer that will physically print a copy of the document along with the Snapshot copy.

  • Enable redirect printing: Print a physical copy of the document along with the Snapshot electronic copy.
  • Available printers: Select the printer you want to use in addition to Snapshot.
  • Add: Click to add the selected printer to the list.
  • Selected printers to redirect: Currently-selected additional printers.
  • Remove: Click to remove the printer from the list.

Device Settings

Paper Size

The paper size that is used by default for all new print jobs can be configured from the Device Settings tab of the appropriate printer preferences dialog box. When specifying a default paper size, you can select a predefined paper size, set the desired image dimensions, or even create a paper size that will be added to the list of available sizes.

Note: Native applications may have their own settings, apart from the Snapshot print settings. Be sure to check both sets of settings to ensure that the Snapshot image will be formatted correctly.

To set the default paper size

  1. From the Laserfiche Snapshot Printing Preferences dialog box.
  2. From the Device Settings tab, to pick a standard paper size, select it from the Paper option.
  3. Click OK to save your changes.

To add, modify, or delete a paper size

  1. From the Laserfiche Snapshot Printing Preferences dialog box.
  2. On the Device Settings tab, click Edit paper list. The Edit paper list dialog box will appear.
  3. Do one of the following:
    • To add a paper size, do the following:
      1. Click Add New to load the Paper Size dialog box.
      2. In the Name option, enter the name by which you will identify the new paper size.
      3. Select 1/100ths of an inch, 1/10ths of a millimeter, or pixels.
      4. Under Paper width, enter the image width for this paper size.
      5. Under Paper height, enter the image height for this paper size.
      6. Click OK.
    • To modify an existing paper size, select the desired paper size and click Modify. The Paper Size dialog box will appear. Modify the desired settings, and click OK.
    • To delete an existing paper size, select the desired paper size and click Delete.
  4. Click OK to save your changes.

Note: A new paper size is not automatically set as the default paper size. To use a new paper size, select it from the Paper option.

Orientation

You can set the default image orientation to either portrait or landscape from the Device Settings tab of the default printer preferences dialog box. Selecting a new orientation automatically updates the paper height and width options to indicate the dimensions that will be used to create images, allowing you to use those options to verify if the currently selected orientation is appropriate for your image.

To set the default orientation

  • To generate images with a larger height than width, select Portrait.
  • To generate images with a larger width than height, select Landscape.

Create faxable image

Select this option to force Snapshot to create images that are either 204x98 DPI or 204x196 DPI.

Graphic Resolution

Resolution determines the amount of detail that will be stored in an image, and it is often a tradeoff between quality and size. A higher resolution means an image will have more detail, but also a larger file size. A lower resolution means an image will have less detail and a smaller file size. The appropriate resolution for your images depends on the paper size and the amount of detail that you require. If you will be OCRing text in a document, we recommend a DPI of at least 300. You can configure the default horizontal and vertical resolution for the images generated by Snapshot from the Device Settings tab of the default printer preferences dialog box.

To set the default resolution

  1. From the Laserfiche Snapshot Printing Preferences dialog box.
  2. From the Device Settings tab, do one of the following:
    • To set the resolution to a preset setting, select the desired setting under Resolution. Selecting a resolution will display the corresponding horizontal and vertical resolutions in the fields below.
    • To manually set horizontal and vertical resolution, select CUSTOM Resolution under Resolution. For Horizontal resolution, enter the number of horizontal pixels that should be used. For Vertical resolution, enter the number of vertical pixels that should be used. The valid range for both horizontal and vertical resolution is 50 - 3000 DPI.
  3. Click OK to save your changes.

Note: For applications containing page setup options (e.g., Microsoft Word), it is possible that page orientation, color depth, and other properties selected from the Snapshot Printing Preferences dialog box will be overwritten by the properties set in the Windows application. For these applications, configure the properties from the Windows application.

Color Depth & File Format

Color depth determines if images will appear in black and white (monochrome), grayscale, or color. The selected color depth will be used regardless of the amount of color in the document being printed.

Example: If you print a color pie chart in monochrome, the resulting image will be a black and white version of that pie chart. If you print black and white text in color, the resulting image will be a larger file than a monochrome image, even though it only contains two colors (black and white).

To set the default color depth and file format

  1. From the Laserfiche Snapshot Printing Preferences dialog box.
  2. Click the File Formats tab.
  3. Under File format, select the desired file format. Certain file formats are only available when dealing with a particular color depth (i.e., black and white, grayscale, and color). If you select a TIFF format, you can select TIFF settings for more information.
  4. Under Color Depth, select if images generated by Snapshot should be color, grayscale, or black and white (monochrome).
  5. Under Photo quality, configure the following:
    • Intensity: The brightness of the image. A lower value will produce a darker image, and a higher value will produce a lighter image.
    • Disable photo quality: Disables photo quality image processing.
    • Dithering methods: Floyd-Steinberg, Jarvis-Judice-Ninke, Smooth, Sharp, Stucki, and Threshold are the available dithering image filters. Floyd-Steinberg is the fastest filter and is ideal where speed and simplicity are crucial, and image quality is acceptable with minor artifacts. Stucki is the slowest filter, but is better suited for scenarios where image quality and detail preservation are more important. The other filters lie between these two.
  6. Click OK to save your changes.

Watermarks

A watermark can be imprinted in various places on images.

Note: The only supported image formats are TIFF, BMP, and JPEG.

To imprint watermarks by default

  1. From the Laserfiche Snapshot Printing Preferences dialog box, click the Watermark tab.
  2. Select the Print watermark check box. This enables the printing of watermarks on the images generated from a print job.
  3. To only place a watermark on the first page, check the Add watermark to the first page only option; clear the checkbox to place a watermark on all pages.
  4. Select the Unique watermark on the first page option, to specify two watermark images. The image selected under First page will only be printed on the first page, while the image selected under Other pages will be printed on the remaining pages
  5. Do the following for both Portrait pages and Landscape pages sections.
    1. For Watermark image file, enter or browse to select the path to the image file to be used as a watermark. Remember that in the Browse dialog box, only the type of files selected under Files of type will be displayed. The image file that should be used as a watermark must be in TIFF, BMP, or JPEG format. If necessary, the printer driver will convert a watermark image to the format of the page that is currently printed, for example, if a color image is specified as a watermark and the printer driver is set to generate monochrome images, the color image will be converted to monochrome and added to the page.
    2. For Position, determine how the watermark will be placed on images.
      • Stretched to Fit: Stretches the watermark image to the size of the page. Depending on the size of the watermark, stretching can distort the watermark image.
      • Stretched to Width: Stretches the watermark image to fit the width of the page. Stretching will not distort the watermark image but the watermark image can become longer than the page itself and parts of it may not be visible on the page.
      • Center: Prints the watermark to the center of the page without changing the size of the watermark.  
      • Tile: Prints the watermark tiled on the page. The size of the watermark image is not changed and it will be cropped if it does not fit on the page.
    3. For Brightness, select the opacity of the watermark. Higher values will make the watermark more visible; lower values will be less visible.
  6. Restore Defaults: Allows you to restore the default settings for all printer options.
  7. Click OK to save your changes.

Embed Annotations

You can configure Laserfiche Snapshot to print a default line of text on every image generated. These annotations can include the date and time on which a file was printed. In addition to configuring the text that will be imprinted on an image, you can customize the text's transparency, position, orientation, and font (including color).

Tip: The Preview Annotation Text option displays a text preview of a sample annotation. Use this preview to ensure that the currently selected options will produce the desired result.

  • Embed annotation: Enables the printing of text annotations on images generated from a processed document.
  • Text String: Specifies a user-definable string that will appear in the annotation text. To use a date and/or time value as an annotation with no preceding text, clear the Text string check box.
    • Separator: A character or text that will separate the annotation text from the date and the time.
    • Font selection: The font used to print the annotation.
  • Date: Adds the current date to the annotation.
    • MM/DD/YYYY: Month/Day/Year (e.g., 01/17/2008)
    • M/D/YY: Month/Day/Year (e.g., 1/17/08)
    • DD/MM/YYYY (European): Day/Month/Year (e.g., 17/01/2008)
    • DD-MON-YYYY: Day-Month-Year (e.g., 17-JAN-2008)
    • YYYY/MM/DD: Year/Month/Day (e.g., 2008/01/17)
    • Julian date: Displays the Julian date (e.g., 2454482)
  • Time: Adds the current time to the annotation in one of the following formats: 12 hour (e.g., 5:00 PM) or 24 hour (e.g., 17:00). You can also select or clear checkboxes to display Minutes, Seconds, and Time zone.
  • Annotation mode: Makes the annotation background transparent or opaque on the image. A transparent background allows the content behind the annotation to be visible; an opaque background ensures that the text in the annotation is clearly recognizable.
  • Preview annotation text: How the annotation will look based on the current settings.
  • Annotation position: Where the annotation will be printed. The Top left, Top right, Center, Bottom left, and Bottom right fields set an origin point. X Offset (+/-) and Y Offset (+/-) specify the distance of the top left corner of the annotation from the origin point. Supported unit options are 1/10 of a mm, 1/100 of an inch, and pixels.

Example: If the annotation’s origin point is set to Top left, the X Offset (+/-) is 100, the Y Offset (+/-) is 200, and the units are pixels,the annotation will be printed 100 pixels to the right of and 200 pixels below the origin point (Top Left, Top Right, etc.). To move items to the left of the origin point or above the origin point, use negative numbers.

  • Rotation: Specifies the number of degrees the text will be rotated, which can be positive (clockwise) or negative (counter-clockwise).
  • Annotation color: Sets the color of the annotation text. Color palette sets the color to print annotations. Red, Green, and Blue set the respective components of color (integers from 0-255) assigned to the annotation text. Or browsing for a color by clicking Color Palette.
  • Restore Defaults: Allows you to restore the default settings for all printer options.

Example: If the annotation’s origin point is set to Top left, the X Offset (+/-) is 100, the Y Offset (+/-) is 200, and the units are pixels, the annotation will be printed on the page at position 100 pixels horizontally, 200 pixels vertically.

  • Rotation: Specifies the number of degrees the text will be rotated, which can be a positive or a negative value.
  • Annotation color: Sets the color of the annotation text. Color palette sets the color to print annotations. Red, Green, and Blue set the respective components of color (integers from 0-255) assigned to the annotation text.
  • Restore Defaults: Allows you to restore the default settings for all printer options.
  • To set text annotation font, click Font selection and select the desired font, style, and size. Click OK.
  • Click OK to save your changes.
