Standard Forms
You can register an unlimited number of Laserfiche Forms Servers.
Forms Portal
Forms Portal expands the functionality in Laserfiche Forms to include publicly available forms that users can fill out anonymously. There are two versions of the Forms Portal Add-on you may be licensed for:
- The Laserfiche Forms Standard Portal Add-on is licensed per instance. You can allocate each Forms Portal instance you have to one Forms Server. To use Forms Portal with a particular Forms Server, you'll register the server as normal during installation and allocate the Forms Portal to the desired Forms Server from the Laserfiche Rio Directory Server.
- With the Laserfiche Forms Enterprise Portal Add-on, every instance of Laserfiche Forms will have the additional Forms Portal functionality.
Registering with Laserfiche Directory Server
Like the Laserfiche Server, Laserfiche Forms allows you to register to Laserfiche Directory Server during the product installation.
Allocating Authenticated Participant licenses
Authenticated Participants (called submitter users in Laserfiche Directory Server) are allocated to individual Forms Servers out of a pool of licenses. During product installation, if the license database used for your Forms Server has been allocated authenticated participant (submitter user) licenses, you can allocate any and all of them to the Forms Server. You can also allocate participant licenses to a Forms Server from the Rio Directory Server.
After allocating a number of authenticated participant (submitter user) licenses to a Forms Server, you'll manage your participant users from the System Security page within Forms. Learn more about participant users.

Standard Forms
The standard Forms activation key can be used to install an unlimited number of Laserfiche Forms Servers.
Forms Portal
Forms Portal expands the functionality in Laserfiche Forms to include publicly available forms that users can fill out anonymously. Without Forms Portal, users must sign in before filling out any forms. Forms Portal is licensed per instance, meaning you have a separate Forms Portal activation key in addition to your standard Forms activation key.
Important: To use Forms Portal with a particular Forms Server, you'll use the Forms Portal activation key when installing a Forms Server instead of the standard Forms activation key.
Allocating Authenticated Participant licenses
If you purchased authenticated participant licenses, they are included in your Forms license. You'll manage your participant users from the System Security page within Forms. Learn more about participant users.
Laserfiche Forms Essentials vs. Forms Professional
Laserfiche offers two Forms packaging options in Laserfiche 12 that applies to subsequent self-hosted releases as well.
- Forms Essentials offers a limited feature set, where users have the core features of mapping out processes, creating forms and basic reporting. Forms Essentials is included with all Laserfiche installations that have Laserfiche Workflow and are on Laserfiche 12 and subsequent self-hosted releases.
- Forms Professional provides the complete Laserfiche Forms feature package, including full-featured reporting, analytics and payment collection capabilities. This is available as an add-on. Customers that previously purchased Laserfiche Forms can upgrade to Laserfiche 12 or any subsequent release and automatically be upgraded to Forms Professional.

The Users Who Can Access Forms
- Full User: Provides the entire array of Laserfiche feature functionality in one user type with read-and-write repository access, as well as the ability to participate in, create, and administer forms processes. Subscription Full Users have accessibility options including the web client, mobile and desktop client and can participate in Laserfiche Discussions.
- Process Users: Provides all Laserfiche Forms functionality as well as user authentication and read-only repository access. Deployment is handled by Laserfiche Directory Server (LFDS).
- Participant Users: For employees that need user authentication and read-only repository access, this license provides the user the ability to participate in forms processes, and be assigned to a team. Deployment is handled by Laserfiche Directory Server (LFDS).
- Community Users: For non-employees and customers. Provides read-only repository access and ability to participate in forms processes (e.g. Vendor Management). Deployment is handled by Laserfiche Directory Server (LFDS).
- Education Users: For accredited educational institutions. Provides read-only repository access and ability to participate in forms processes. Deployment is handled by Laserfiche Directory Server (LFDS).
