Browsing Laserfiche Through SharePoint

Once the Laserfiche Repository Access Web Part has been installed and configured on the SharePoint server, your administrator will tell you which site you should use to access the repository. You can access your repository by clicking on the tab for that site.

Your rights to the repository will be determined by the Windows user who you are currently logged in as. The same rights that apply to your Windows domain account when viewing the repository in the Laserfiche Windows client or the Laserfiche web client will apply to you when you are viewing the repository in SharePoint. For example, if you are logged in as a user who can open a particular document in the Laserfiche Windows client, you will still be able to open that document in SharePoint; if you are logged in as a user who has not been granted the Scan feature right, you will not be able to scan documents into the repository through the SharePoint integration.

Note: The Laserfiche SharePoint Integration is only available for the Laserfiche web client.

Browsing the Repository

When you open the site that hosts Laserfiche Repository access, you will see the folder that your administrator specified as a starting folder for the repository. (Where it is located on the SharePoint site will depend on where your administrator added the web part.) You can double-click a folder or select it and press ENTER to open the folder and view its contents.

At the top of the repository pane, you will see a breadcrumb telling you where in the repository you are. For instance, if you are currently viewing the contents of Jane Smith’s folder in the Human Resources folder, which is in a repository called MyRepository, the breadcrumb will say: MyRepository\Human Resources\Jane Smith. You can move to folders higher in the folder tree simply by clicking their name in the breadcrumb. (Note that you cannot go higher in the folder tree than the folder that your administrator set as your starting folder.) In the example above, clicking “Human Resources” would take you back to the Human Resources folder, and clicking MyRepository would take you directly to the root of the repository.

Opening Documents

When browsing the repository, you may find documents that you want to open, view, and work with. You can do this by double-clicking the document, or selecting the document and clicking the Open button.

The document will open in the Laserfiche web client, in a new browser window. From there, you can work with the document as you normally would in the Laserfiche web client. You can view the pages, add annotations, and view or modify metadata such as fields and links. Electronic documents will open in their native application or in the Laserfiche web client document viewer, according to your settings in the Laserfiche web client.

Once the document is open in the Laserfiche web client, you can either choose the Current Folder tab to continue to browse the repository in the Laserfiche web client. Alternately, when you are done, you can continue to browse directly in SharePoint.

Importing Documents

  1. Import new documents to the repository by clicking Import, this will open the Importing file dialog box.
  2. Under Select a file to upload, click Browse to browse to a file. By default, the Name option will be filled with the name of the file. If you want to give the document a different name than the file name, you can change it by typing the new name in the Name option.
  3. In the General tab, specify the Laserfiche volume that the document will be stored in. In the Fields tab, you can select a template, add or remove additional fields, and set field values. In the Tags tab, you can assign tags to the document.
  4. When you are done, click OK to import the document.

Scanning Documents

You can scan new documents into the repository by clicking Scan. This will launch the Laserfiche web client scanning, which you can use to scan documents into the folder. For more information about the Laserfiche web client scanning, start with the Overview of Laserfiche Scanning help topic.

Note: If you are using FireFox as your web browser, you will need to install scanning in the web client before you can scan using SharePoint.

Creating Folders

You can create folders in your repository by clicking the New Folder button. You will be prompted to type a name for the new folder. Click OK to create a new folder in your Laserfiche repository.

Sending Documents from Sharepoint to Laserfiche Web or Windows clients

To send documents via Microsoft Sharepoint to Laserfiche Web or Windows Clients use the following steps:

  1. Under Home, click on Documentsto go to the Documents library.
  2. Select File to be sent in the Documents library
  3. In top bar, go to Files
  4. Towards the end of the resulting ribbon, click Send to and then Laserfiche.
