What's New in Laserfiche 12 Fall 2025
The Laserfiche 12 Fall 2025 release introduces a wide range of enhancements across the Laserfiche suite focused on improving security, streamlining administration, and enabling smarter automation.
AI-powered Smart Fields
New AI-powered Smart Fields is a data capture tool designed to support a wide range of use cases, from line-item extraction and complex table parsing to handwriting recognition and data analysis. Minimal configuration makes it easy to adopt, and its flexibility means it can be applied across industries and departments.
Line-item extraction powered by Smart Fields works across different formats of invoices without additional manual configuration. Beyond direct extraction, Smart Fields can generate executive summaries, translate, perform sentiment analysis, and more.
Workflow AI Activities
Workflow now provides an AI custom prompt activity, allowing administrators to send prompts to both Cloud hosted and local OpenAI-compatible providers, attach files, and configure advanced settings like system messages and conversation history. With these activities, you can extract data from unstructured text, automate document summarization, translate submitted information, and more. Workflow also offers a targeted AI translation activity, making it easy to get started with automated translation.

Formulas
Repository metadata now supports formulas using the same syntax as Laserfiche Forms, allowing for basic calculations, date manipulation, and referencing other fields, making your fields more dynamic and useful.
For example, you can automatically populate an expiration date field, combine first and last name, and set list options using logic rules. Furthermore, you can do calculations across tables, such as finding the most expensive item in an invoice or calculating an average.
Out of Office Handling
Forms now includes out-of-office handling for task assignments. Users or administrators can set unavailability windows, and tasks will automatically skip unavailable users or be suspended if no alternative is available. Out-of-office status is also visible when reassigning tasks or viewing team members, making it easier to manage tasks and processes manually.
Repository Search Updates
Repository search capabilities have been expanded to support more flexible and precise queries.
For example, saved custom quick searches now fully support relative date ranges like “last 7 days,” “today,” while date-based searches have options for “begins after,” and “older than” when applicable. These new date options include corresponding search syntax, enabling Workflow and Laserfiche Connector to take full advantage of these enhanced search capabilities. You can also quickly apply OR and NOT logic across multiple keywords or values directly through the repository web client search interface to perform more precise searches without using search syntax.
Repository Settings
The repository web client now simplifies locking down repository user settings. Administrators can restrict settings, like import behavior and configuration, at the user or group level through the repository administration page. This reduces manual attribute edits, ensures consistency, and improves governance with less support overhead.
Import Agent, Email Archive, and Scanning Updates
These tools feature refreshed interfaces and updated libraries. Furthermore, enhanced logging and retry logic improve stability, especially in cloud environments.
Deployment Simplification
Administration
Administrative tools have been enhanced to improve visibility and simplify system management.
The Administration Hub now displays available upgrades and port connection details. Furthermore, Administrators can assign friendly names and descriptions to servers, making it easier to identify and manage systems. Server lists are also now searchable by machine name, installed applications, and description, which is especially useful in larger environments.
Custom Login Pages
Through Laserfiche Directory Server, organizations can configure custom login pages that reflect their branding and user experience standards. This not only reinforces trust and familiarity for internal and external users, but also reduces confusion and support requests by aligning the login interface with organizational expectations and terminology
Installation
Continued improvement makes it even easier to install and updated related components with an updated interface and a new command-line interface (CLI). The CLI enables remote and automated deployments. Additionally, service user configuration is now part of the installer flow, with support for central configuration files to simplify silent installs.
Security, Logging, & Globalization
MFA for Public Form Drafts
Public form drafts can now be protected with optional multi-factor authentication (MFA) using emailed codes, adding a layer of security for external access.
Laserfiche-wide Updates
Laserfiche now offers stronger security across the suite, giving administrators greater control and ensuring safer data handling. New support for SHA256 digital signatures and login tokens replaces older cryptographic libraries, improving data integrity and compatibility with secure environments.
Organizations using SAML authentication can now fully disable Windows Authentication, allowing for exclusive use of SAML-based login and more streamlined identity management.
Expanded Logging
Enhanced logging across Import Agent, Email Archive, STS, Scanning, Workflow and Laserfiche Directory Server improves visibility into issues, helping teams resolve problems faster.
Globalization
To support global operations, Laserfiche continues to expand its localization capabilities with new support for Japanese, Thai, Korean, and Italian throughout product interfaces.
OCR now includes support for Arabic and Thai, enabling broader document processing capabilities in Import Agent and Scanning.
