Security Reports

The web client includes security reporting tools that allow you to manage and troubleshoot your entry access rights. All reports can be downloaded as a table, a list, a Microsoft Excel spreadsheet, or a comma-separated text file.

Note: Security reports are only available in the web client.

There are three security report types:

  • Entry Effective Access Rights Report: This report allows you to view the effective access rights for the currently-selected entry, either for all users, or for specified users or members of specified groups. You can specify exactly which rights to report on, or add all rights for a comprehensive report. This gives you a comprehensive look at which users can perform which actions on the specified entry; unlike the Effective Rights dialog box, it displays information about multiple users at once. This report returns information about the specified entry only, and not about any child entries.
  • User Effective Access Rights Report: This report allows you to view the effective rights for the specified user or users on the selected entry and all its child folders and documents. (For example, if you run the report on a folder with no subfolders, the report would include that folder and all the documents within it; if you run the report on the root folder of the repository, the report would include all folders and documents in the repository.) If you specify multiple users or a group, a separate report will be generated for each user.
  • User Security Properties Report: This report allows you to view the security configuration for the specified user or users. It includes the user’s security tags, group membership, feature rights, privileges, audited events, and group watermarks. (If a user has not had any of a particular category configured—for instance, if they have been granted no security tags—that category will not be displayed in the report.) If you specify multiple users or a group, a separate report will be generated for each user. Entry access rights, volume rights, and template and field rights are not included in this report.

To run a security report

  1. Log in to the Windows or web client. The rights you must have depend on the report you will run:
    • To run the Entry Effective Access Rights Report or the User Effective Access Rights Report, you must be logged in as a user with the Manage Entry Access privilege.
    • To run the User Security Properties Report on other users, you must have the Manage Trustees privilege.
    • No privileges or rights are required to run the User Security Properties Report on yourself.
  2. If you will be running the Entry Effective Access Rights Report or the User Effective Access Rights Report, navigate to the entry on which you want to run the report. You do not need to navigate to any particular entry to run the User Security Properties Report.
  3. In the web client, select More Actions and then Generate Report. In the Windows client, select Tasks and then Generate Report....
  4. Select the security report that you want to run.
  5. Specify the output format for the report. You can choose an HTML list, an HTML table, an Excel spreadsheet in .XLSX format, or a comma-separated text file.
  6. Specify the user or users on which to run the report:
    • The Entry Effective Access Rights Report can be run on any number of users and groups; access rights for those users and groups will be displayed in a single table or list. It will report only on the specified entry or entries, not on child entries. If you selected multiple entries, a separate report will be generated for each entry.
    • The User Effective Access Rights Report will produce a report for a single user on the current entry and all child entries; access rights for all entries will be displayed in a single table or list. If you selected multiple users or one or more groups, a separate report will be generated for each user.
    • The User Security Properties Report will produce a report for each user you specify, or for all members of any groups you specify. If you lack the Manage Trustees privilege, you can only run this report on yourself and will not be provided with the option of specifying a user or group.
  7. If you selected the Entry Effective Access Rights Report or the User Effective Access Rights Report, specify the rights you want to report on. You can also report on all entry access rights using the Add All option.
  8. Click OK to generate your report.
