Modifying a volume

After a volume has been created, you can modify its properties.

If you modify a physical volume's fixed path, files in that volume will be automatically moved to the new location. (This is true of non-logical volumes and of individual physical child volumes within a logical volume. Modifying a logical volume's fixed path, however, will cause the next child volume to be created in the new location, but will not move existing child volumes. This allows you to easily divide a logical volume across multiple hard drives without needing to move individual existing volumes.) Modifying the removable path will not update the location of the physical files; they will need to be manually copied to the new location.

The only property that cannot be modified once a volume has been created is the ability to rollover a volume after it reaches a certain size. Once a volume has been created, it will behave as a logical or a physical volume. A volume cannot switch roles.

To modify a volume

  1. Start the Laserfiche Administration Console.
  2. In the console tree, expand the desired Laserfiche Server item.
  3. Select the desired Laserfiche repository.
  4. If security has been enabled on the selected repository, log in as any user who has been granted the Manage Volumes privilege for the specified repository.
  5. Select the Volumes node.
  6. Double-click the desired volume to display the Volume Properties dialog box.
  7. To modify the volume name assigned to a volume, enter a new name in the Name field in the General tab.
  8. To change the fixed or removable path, update these options on the Path tab. When specifying volume paths, keep in mind that you will need to either use a UNC path, a full path from the computer hosting the Laserfiche Server to the desired location (e.g., C:\Volumes\Volume), or a relative path. Relative paths are relative to the Laserfiche repository location and can be specified by using the following notation: .\FolderName.
  9. Note: Once you have saved modifications to the fixed path of a volume, the Laserfiche Server will automatically bring the volume offline and move its files to the new location. When the move is complete, the Server will bring the volume back online in its new location. Modifications to a removable path do not trigger a volume move; those files must be moved manually.

    Note: If you modify the path of a read-only volume or an entire logical volume, the Laserfiche Server will not automatically relocate its files to the new location; you must move those files manually. However, if you modify the path of a child volume of a logical volume, the Server will automatically relocate its files for you.

  10. If a fixed and a removable path have been assigned to this volume, you can also configure where images, text, electronic files, word location data, and thumbnails will be stored on the Path tab.
  11. Note: Once you have saved modifications that assign images, text or electronic files to a new fixed path, files of those type will be automatically moved to their new location.

  12. If you want to limit total volume size, select the Limit this volume to a given size checkbox under the Maximum Size/Age tab, and specify the total size to which the volume can grow. Keep in mind that volume size limit is specified in megabytes. To remove an existing size limit, clear the checkbox.
  13. If you want to create a schedule to determine how often a new physical volume is created, select the Rollover based on a time schedule checkbox under the Maximum Size/Age tab, and specify the time span in days, weeks, or months and a starting date for your scheduled rollover. To remove an existing rollover schedule, clear the checkbox.
  14. If you want to set a specific date for when a new physical volume will be created, select the Rollover to the next physical volume on this date checkbox checkbox under the Maximum Size/Age tab, and specify the date the rollover will take place. To remove an existing rollover date, clear the checkbox.

    Note: For child volumes of physical volumes, you cannot designate a schedule for volume rollover; however, you can modify the rollover date when that particular volume will rollover.

  15. Click OK to modify the volume.
  16. To modify volume security, make sure that the volume is selected and select Security from the Action menu. For each user or group, allow or deny access rights. For more information on setting up volume security, see Securing Documents by Volume.

Note:  The following comment is only applicable for volumes on which rollover has been enabled. Keep in mind that the volume rollover feature depends on the Limit this volume to a given size, Rollover based on a time schedule, or Rollover to the next physical volume on this date options. If these options are cleared, a new physical volume will never be created because there will be no size limitation and no schedule that triggers this event. Selecting either of these options will reactivate volume rollover.

To modify a volume

  1. Start the Laserfiche Web Administration Console.
  2. Select the desired Laserfiche Server item.
  3. Select the desired Laserfiche repository.
  4. If security has been enabled on the selected repository, log in as any user who has been granted the Manage Volumes privilege for the specified repository.
  5. Select Volumes.
  6. Click on the desired volume to display the Volume properties page.
  7. To modify the volume name assigned to a volume, enter a new name in the Volume Name field in the General tab.
  8. To change the fixed or removable path, update these options on the Path tab.     Note: For child volumes of physical volumes, you cannot designate a schedule for volume rollover; however, you can modify the rollover date when that particular volume will rollover.

  15. Click Save to modify the volume.
  16. To modify volume security, make sure that the volume is selected and select Security from the Action menu. For each user or group, allow or deny access rights. For more information on setting up volume security, see Securing Documents by Volume.

Note: The following comment is only applicable for volumes on which rollover has been enabled. Disabling a volume

Disabling a volume makes the volume inaccessible from the Laserfiche Server and should be used as a temporary measure, for use during volume backup or maintenance. When a volume is disabled, its contents will not be accessible—users will not be able to view images or open electronic documents stored in that volume—and the volume also cannot be exported or modified in any way except to re-enable it. For instance, to copy a repository's volume files to another hard drive for backup purposes, you could disable the volume, copy the volume files on the hard drive, and re-enable the volume.

Since changes cannot be made to the volume or its contents when it is disabled, this allows you to ensure that a volume's contents will remain consistent for backup purposes without having to take the entire repository offline.

Note: Metadata such as fields, tags, links, and versions can still be modified for documents in the volume when the volume is disabled. Disabling a volume prevents the physical files in the volume—the images, text, electronic documents, etc.—from being opened or modified, but does not affect the document's metadata.

To disable or re-enable a volume

  1. Start the Laserfiche Administration Console.
  2. In the console tree, expand the Laserfiche Server.
  3. Select the desired Laserfiche repository.
  4. If security has been enabled on the selected repository, log in as any user who has been granted the Manage Volumes privilege for the specified repository.
  5. Select the Volumes node.
  6. Double-click the volume you wish to disable.
  7. Select or clear the Disable volume check box to disable the volume or enable it.
  8. Click OK to save your changes to the volume.

To disable or re-enable a volume

  1. Start the Laserfiche Web Administration Console.
  2. Select the Laserfiche Server.
  3. Select the desired Laserfiche repository.
  4. If security has been enabled on the selected repository, log in as any user who has been granted the Manage Volumes privilege for the specified repository.
  5. Select Volumes.
  6. Do one of the following:
      • Click on the volume name to open the Volume properties page. Under Status set the Disabled option to True. Click Save.
      • Select the desired volume. Click the Disable button. If you do not see the Disable button, click >> to see more toolbar buttons.

Deleting a volume

A volume can be deleted from a repository, causing all documents or electronic documents associated with the volume to be permanently deleted. Deleting a volume removes the physical files and folders associated with it, including the images, text, electronic files, and identification file associated with the volume.

Warning!  There is no easy way to undo the deleting of physical files associated with a volume. The only way to recover a deleted volume is to restore from backup.

To delete a volume

  1. Start the Laserfiche Administration Console.
  2. In the console tree, expand the Laserfiche Server.
  3. Select the desired Laserfiche repository.
  4. If security has been enabled on the selected repository, log in as any user who has been granted the Manage Volumes privilege for the specified repository.
  5. Select the Volumes node.
  6. Select the volume to delete.
  7. From the Action menu, select Delete.
  8. When prompted to delete the physical files associated with the volume, click Yes to delete the physical files or No to keep them in their current location.

To delete a volume

  1. Start the Laserfiche Web Administration Console.
  2. Select the Laserfiche Server.
  3. Select the desired Laserfiche repository.
  4. If security has been enabled on the selected repository, log in as any user who has been granted the Manage Volumes privilege for the specified repository.
  5. Select Volumes.
  6. Do one of the following:
    • Click on the volume name to open the Volume properties page. Click Delete below the volume name.
    • Select the desired volume. Click the Delete button. If you do not see the Delete button, click >> to see more toolbar buttons.
  7. When prompted to delete the physical files associated with the volume, click Yes to delete the physical files or No to keep them in their current location.
