Record Folder Closure

Closing a record folder, setting a final event date, and cutting off a record folder all result in closure. Setting a critical event date and cutting off a record also triggers the retention phase of the record's life cycle.

Once a record folder is closed, most actions involving modifying the record folder or record are restricted, such as adding new records or changing existing records; however, records can still be removed from a closed record folder.

Note: A user with the Close/Reopen Folder entry access right to a closed record folder can add documents to that folder without reopening and closing it.

Closing a record folder effectively denies the following entry access rights:

Note: Administrators can optionally configure the repository to allow modifications to annotations and metadata after record closure, though page and electronic file information is always read-only once a record has been cut off. Users assigned the Records Management privilege always have the ability to modify or remove tags, document relationships, or link groups from an record regardless of that record's current life cycle stage.
