My Tasks

If you're assigned tasks as part of a Forms process, you can view and complete those tasks from the Forms inbox. The number of tasks you have will be displayed next to My Tasks in the menu and as a notification in the top right of the My Tasks screen.

Example: When employees submit travel requests, you need to approve them. Once you approve them, an email is automatically sent to the travel coordinator to make travel arrangements.

To view and complete tasks

  1. Press My Tasks from the Forms inbox in the menu on the left. The menu is accessed by swiping right or pressing the menu Menu button button in the top left.
  2. Tasks assigned to you will be under Open; an incomplete task or form you saved as a draft will be under Drafts; tasks available to claim will be under Unassigned; completed tasks will be under Completed. By default, the tasks are sorted by the date they were assigned or completed. Press the column header to categorize the tasks by the date they were assigned or completed, the due date, priority (urgent, high, medium), the user who started the process, the process name, or the team the process is assigned to.
  3. Note: Priority is set automatically based on settings in the business process's user tasks. Learn more.

  4. Under Open, press a task you want to complete or view more information about. You can search for a task by pressing the search button Search button in the top right. Or, you can directly complete one or more tasks by selecting the checkbox next to each task, pressing the More Options button at the top right, then pressing the configured action, for example, Submit.

    Note: To complete more than one task at a time, the tasks to complete must have originated from the same user task. If you attempt to complete more than one task from different users tasks, the action to complete the tasks will not be available.   5. The task page will appear showing you the last action taken in the process and the form you need to act on. At the top right, press the full screen button Full screen button to expand the task page, press the Information button Information button to view information about the task, or press the More Options button More Options button to save the task as a draft, release it, reassign it, edit its due date, or save it offline.
  6. Review the form and press an action button (i.e., Approve) on the form to complete your tasks.
  7. To start a new process, press the Plus button in the bottom right.
  8. The next task in your inbox will automatically be displayed, letting you move through your list of tasks quickly.

Task Email Notifications

If set up in Laserfiche Forms, users will be able to receive an email with a link directly to their task. For more information on setting up this link, see the Laserfiche Forms documentation.

Drafts

If you started filling out a form or completing a task, but had to save it before you could finish, it will appear under Drafts when you press My Tasks in your Forms inbox.

Note: Drafts in the Laserfiche app are only supported when using Laserfiche Mobile Server and Laserfiche Forms Server 9.2.1 and later.

To work with a draft

  1. Press My Tasks from the Forms inbox in the menu on the left, then press Drafts. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. Press the draft you want to work with. Tasks that have been saved as drafts will have the word "Draft" next to them. The other items listed are forms drafts.

    Tip: Tasks that have been saved as drafts will be displayed in italics under My Tasks.

  3. Make any desired changes to the draft and either submit it or save it again to work on it later. Alternatively, press the X in the top right to return to the list of forms without saving any changes.
  4. To start a new process, press the Plus button .

To sync drafts

If the Sync online/offline entries and drafts upon signing in option under Settings is enabled, tasks and processes that are saved as drafts will be automatically synced to their offline/online counterparts. The user can manually sync drafts by signing out and back into the Laserfiche Forms server or:

  1. Press My Tasks, then Drafts from the Forms section in the menu on the left. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. Press the Sync button at the top of the page . All drafts will be synced. To sync a single draft, long press the draft and select Sync.You will see a message indicating the drafts are syncing.

To remove a draft

  1. Press My Tasks, then Drafts from the Forms section in the menu on the left. The menu is accessed by swiping right or tapping the menu Menu button button in the top left.
  2. Long pressthe draft you want to remove.
  3. Press Discard in the first dialog box, then press OK in the Confirm dialog box to remove the draft.

Unassigned

If you have the appropriate rights, you will see all tasks assigned to your team that are available to claim under Unassigned. You can claim, reassign, or edit the due date of the tasks in this list.

Completed

You can view completed tasks and processes under Completed.

Example: You submitted an expense report last week, but you haven't heard anything about its status. You can find the expense report's process under My Tasks, then Completed in your Forms inbox. Viewing the process information lets you see the step the process is currently at and who that step is assigned to. You can also see the process's summary and action history. In the action history, press any blue text to see the related form.

Example: You approve and reject several supply requests every week. Kate becomes concerned because her request wasn't filled. You can find her request under My Process Status in the Forms inbox and see your decision on her request, review the form she submitted, and let her know the current status of her request.

To review tasks and processes

  1. Press My Tasks, then Completed from the Forms inbox in the menu on the left. The menu is accessed by swiping right or pressing the menu Menu button button in the top left.

  2. Press the completed task or process you want to view information about. Then, press the information button in the top right corner to view its status, the step it's currently on, it's action history, and a summary of important data from the task or process.
  3. By default, the tasks and processes are sorted by the date the process was completed. Press the column header to categorize the processes by the date started, its priority, who started the process, the process's overall status, and the name of the process. You can search for a process by pressing the search button Search button in the top right.
  4. To see the forms from various stages in the process, click the View links in the timeline. If a task in the timeline is assigned to you, you can press the Open Task link to open and complete the task. You can also press Show more details or Show less details to control the information you want to view about each step in the process.
  5. Press the X in the top left to close the page.
