Configuring Optional Watermarks

An optional watermark is a watermark configured by a user for their own personal use.  Unlike tag and group watermarks, users can decide whether to apply an optional watermark, and can choose which watermark to apply.

Example: A user occasionally prints early drafts of documents. Since they do not want those documents to be redistributed, they want to print a watermark on those documents indicating that they are drafts. They could use an optional watermark to do so; when printing final copies, they could simply disable the watermark.

Optional watermarks can only be applied to a document if no tag or group watermarks are present. Tag or group watermarks will always take precedence over optional watermarks.

Optional watermarks are configured individually by each user, and apply only to that user. You can create and store multiple different optional watermark configurations to be used at any time; however, Laserfiche will include only the currently selected watermark during export. You cannot place more than one optional watermark on an image.

Optional watermarks can be configured for export, printing, or both. (In the Laserfiche web client, since printing is handled by first exporting the document and then printing the exported files, both types of watermarks are configured for exporting.)

Note: Optional watermarks are only applied to exported or printed image pages.  They are not applied to electronic documents or text files.

Note: If the Apply when exporting (and no other watermarks are present) option is not selected, optional watermarks will not be included on any exported documents.

To create an optional watermark in the Windows client

  1. Log in to the Laserfiche Windows client as a user with the Apply Optional Watermarks feature right.
  2. In the Tools menu, select Options.
  3. Select either the Export or Print node, depending on which type of optional watermark you want to configure first.
  4. Select the Watermark node.
  5. In the Watermark Text option, select the watermark text you want to use, or type new text to create a new watermark.
  6. Tip: Tokens can be used with optional watermarks. For example, the token %(date) in a watermark would be replaced by the actual date when the document is exported or printed.

  7. If you want to begin applying this watermark immediately, select Apply when exporting (and no other watermarks are present).
  8. Note: If you leave this option cleared and complete the remaining steps, your watermark will be saved but it will not be applied when exporting or printing. You will need to return to this options dialog and select this option to export or print using your optional watermark. If this option is selected and you would like to stop including your optional watermark

  9. In the Position option, specify where on the page you would like the watermark to be placed.
  10. In the Rotation option, select the angle at which you would like the watermark to be placed.
  11. In the Size option, specify the percentage of the page you would like to be covered by the watermark.
  12. Optional: To configure the other type of optional watermarks (Export if you already configured Print, or vice versa), select the other node, and then repeat steps 4-9.
  13. Click OK to save your changes.

To create an optional watermark in the web client

  1. Sign in to the Laserfiche web client as a user with the Apply Optional Watermarks feature right.
  2. In the upper right corner, click Settings.
  3. Under Export, select Watermarks.
  4. If your watermark has already been created, select it under Optional Watermarks. If not, click New and follow the following steps:
    1. In the Watermark Text option, type the text of the watermark.
    2. Tip:Tokens can be used with optional watermarks. For example, the token %(date) in a watermark would be replaced by the actual date when the document is exported or printed.

    3. In the Position option, specify where on the page you would like the watermark to be placed.
    4. In the Rotation option, select the angle at which you would like the watermark to be placed.
    5. In the Size option, specify the percentage of the page you would like to be covered by the watermark.
    6. If you want to begin applying this watermark immediately, select Apply when exporting (and no other watermarks are present).

  5. Click Save to save your changes.

To delete an optional watermark in the Windows client

  1. Log in to the Laserfiche Windows client as a user with the Apply Optional Watermarks feature right.
  2. In the Tools menu, select Options.
  3. Select either the Export or Print node, depending on which type of optional watermark you want to configure first.
  4. Select the Watermark node.
  5. In the Watermark Text option, select the watermark you want to delete.
  6. Click the Delete button.
  7. Click OK to save your changes.

To delete an optional watermark in the web client

  1. Sign in to the Laserfiche web client as a user with the Apply Optional Watermarks feature right.
  2. In the Tools menu, select Options.
  3. In the upper right corner, click Settings.
  4. Under Export, select Watermarks.
  5. In the Optional Watermarks option, select the watermark you want to delete.
  6. Click the Delete button.
  7. Click Save to save your changes.
