Process Automation

Vendor Identification

With Smart Invoice Capture you can now retrieve vendor information from any invoice format. To use vendor identification, you'll need to first create a vendor lookup table. This table can be easily created by exporting an Microsoft Excel or CSV file from your financial software, and importing it to Data Management in Process Automation. Then, using Workflow's Run Capture Profile activity, select the Enable vendor identification option to have workflow dynamically retrieve vendor data. In addition to retrieving standard invoice data, you can use this feature to retrieve custom values from the lookup table. This lets you automate GL coding and capture payment terms based on vendor.

Workflow and Rules

With the new Document Merge rule type, you can assign parameter names to fields in a fillable PDF form. Once a PDF has been configured with parameters, it can be accessed and filled by other processes. To automatically fill the PDF form, access the Document Merge rule in the Workflow Run Rule activity to populate the form data from tokens.

Business Processes

New features include:

  • A new Business Process Service Task that allows a business process to be started from a business process, similar to the Workflow Service Task.
  • Variable Management has moved to the main process designer left navigation, and is no longer only accessible from within the forms designer. Variables can now be modified and delete, and are automatically updated or removed from the entire process when changed.
  • Business process can now be started from a workflow.
  • The Process Promotion tool helps you migrate Laserfiche Forms processes from one environment onto another. The tool prompts you to update any information from the original environment to the other. This allows existing processes to be updated in a development environment and then migrated to the production environment more smoothly.
  • If there is an error during submission of a user form, the form data is retained to allow the user to remedy the error, and repopulate the form before attempting to submit.
  • The Save to Repository Service Task has been enhanced to use folder IDs within the repository.
  • Additional features have been added to the modern form designer, bringing more functionality similar to the classic designer.

Repository Search Bar Improvements

The repository search bar has been updated to make it easier to run and manage your saved searches, re-run recent searches, and apply custom search filters.

Laserfiche API Preview

The Laserfiche API Preview has been updated to support copying and deleting entries, working with additional document metadata, and searching your Laserfiche Cloud Repository.

Translated Help Files

Laserfiche Help Files have been translated in various high demand languages such as French and Spanish. Now, readers can use the Change language globe icon and select a language to translate the Help Files in real-time.

Microsoft Teams Integration:

The Laserfiche integration with Microsoft Teams allows you to work with Laserfiche documents directly in Microsoft Teams. You can securely share files in chats and channels. You can also edit Laserfiche documents in Microsoft Teams, including applying annotations and metadata to documents. The Laserfiche integration with Microsoft Teams makes it easy to comply with regulatory mandates by letting you quickly store files shared in Teams to Laserfiche. You can even configure Laserfiche workflows to start when a Teams file is saved to a specific folder in your repository.

Process Automation

File Sets

With File Sets, you can configure a set of relevant files for process participants to submit or act on as part of a business process. This is useful in processes like new account opening where a specific set of files needs to be uploaded, reviewed or signed by an applicant.

Process Operational Dashboard

Accessible from the home dashboard view, use the Process Operational Dashboard to monitor a variety of process metrics in one summary view. This lets you keep track of active process and task statuses, such as in-progress, suspended, overdue and completed. Adjust views for larger sets using handles to narrow focus and look at details.

Expanded Administration Controls for Active Business Processes

Keep business processes running smoothly with actions to skip, retry and interrupt tasks, as well as the ability to modify in-progress variable values to correct mistyped or missing input data.

Data Caching for Third-Party App Connections

This release improves user experience with faster form load times when retrieving data from Salesforce and Dynamics 365. To improve performance, select Configure cache settings next to the object name when viewing an application connection’s objects and set a timespan for expiration of the cached data.

Account Administration

Just-in-Time User Provisioning

You can now simplify user licensing by allowing new users to automatically be created and assigned licenses upon first sign in.

User permissions group mapping

Streamline user administration by mapping SAML identity provider groups or Windows groups with groups defined in Laserfiche.

The Laserfiche Cloud 2021.3 update, released on July 8, 2021, includes the following new features.

Home

Surveys added to the home screen

A new dashboard for convenient access to design and monitor surveys has been added to the Laserfiche home screen view. Select Surveys from the dropdown under the logo, and pick a survey. An overview of the survey information and data will be presented. From here you can download a report of all submissions, view the data in a variety of chart formats, review, or delete individual submissions. You can also edit, complete, or delete the survey. The right pane provides details and notification settings for the selected survey.

Process Automation

Classic form conversion

Convert forms previously designed with the classic designer to the latest, more user-friendly form layout designer experience. Open the form to be converted, and click the Convert form button. Provide a new name for the converted form, or use the suggested name. Click Convert to complete the process and be taken to the new designer.

Process Automation

Task Inbox Bulk Actions

Select multiple tasks from the inbox to approve or reject the tasks in one action. Click the “Direct Approval” button to open the dialog for bulk approval or rejection of tasks. Tasks will be grouped by process, so that you can easily see how many tasks are selected and eligible for each process.

Business Process Timer Event Enhancements

Timer events now support work schedules, allowing a timer event to automatically start only on work days. You can make adjustments for when a repetition lands on a non-working day according to the work schedule selected in the process properties.

PDF Page Generation Options

In the web client, you can now specify what type of PDF you’re importing when generating pages. This allows you to optimize page generation for the best balance of quality and size depending on the contents of the original document: black and white text document, standard color document, or high-quality color document. You can specify the type of the original PDF at the time of import, and you can also set a default document type in Options.

Laserfiche API

OAuth 2.0 Support for Laserfiche API: Develop more robust connections with third-party apps via support for the industry standard OAuth authorization protocol.

    • Work schedules: Processes can now be associated with a work schedule. Work schedules provide organizations the ability to set custom work hours (useful with calculations involving time such as timer events.) This will cause the "exclude weekends" setting in time based configurations with business processes to be deprecated - editing an existing process will require updating it to use the new features.
    • Bulk direct actions in the inbox: This release introduces the ability to perform bulk direct approval type actions on tasks in the inbox. Users can now bulk process actions on matching tasks in the inbox including approve, submit, reject, etc.
    • Bugs fixed:
      • Rules Service Task no longer suspends when using a data query rule with a numeric input. (332098)
      • Trying to download a file that was just uploaded to a private form no longer fails. (343979)
