Entry Access Rights

Each operation on a document or folder has a set of required entry access rights. If the user attempting the action does not have the necessary rights, the user is denied permission to perform the operation. For some actions, the user must also have a particular volume access right. The Entry Access dialog box allows an administrator to view the explicitly assigned rights a user or group has on a document or folder, as well as assigned rights on the parent folders containing the entry.

Entry access rights can be assigned to a document or folder through the Entry Access dialog box from the Laserfiche Windows client or the Laserfiche web client.

Entry Access Right Abbreviation Description
Annotate Ann The ability to add, modify, and remove annotations (not including redactions) on a document. Adding and modifying redactions requires both this right and the See Through Redactions right.

Implicitly grants the following right:

  • See Annotations
Append Data ADa The ability to add pages to a document or move existing pages into a document. If a document has not already been assigned text, this right grants the ability to generate the text of a document via OCR. It does not grant the ability to reorder or remove pages.

Implicitly grants the following right:

  • Read
Browse Brs The ability to see if a document, folder, or shortcut exists in the folder browser.

Important: The Browse entry access right is not sufficient to open a folder or a document. The Read entry access right is also required. Attempting to a open a folder to which a user has been granted the Browse right, but not the Read right, will cause that folder to appear empty. Attempting to open a document to which a user has been granted the Browse right, but not the Read right, will generate an error message.

Change Entry Owner COw The ability to change the owner of an entry. Learn about entry ownership.
Create Documents CrD The ability to create documents or shortcuts within a folder.
Create Folders CrF The ability to create folders within a folder.
Delete Document Pages DPg The ability to delete pages from a document.

Implicitly grants the following right:

  • Read
Delete Entry Del The ability to delete a document or folder. When deleting a folder, you must also have the necessary rights to delete all entries that reside in the folder. This right does not allow you to delete pages or text from a document.
Modify Contents MCn The ability to modify the contents of a document, including generating or replacing text via OCR and adding, removing, or modifying the pages of an imaged document or the electronic file portion of an electronic document.

Implicitly grants the following right:

Read Rea The ability to see the contents of a folder or document.
Read Entry Security RAc The ability to see the rights assigned to an entry. Note that users do not need this right to see their own effective rights.
Rename Ren The ability to rename a document or folder.
See Annotations SAn The ability to see and search for all annotations (i.e., sticky notes, stamps, highlights, and redactions), but not the ability to see through redactions.

Implicitly grants the following rights:

See Through Redactions Red The ability to see through redactions and choose whether to export documents with redactions removed or intact.

Write Entry Security WAc The ability to assign access rights on an entry.

Implicitly grants the following right:

  • Read
Write Metadata WMe The ability to manage the metadata assigned to an entry once it has been created, allowing a user to assign a template and field data to a document, as well as the ability to delete document links and document versions and remove informational and security tags from documents and folders. (A user does not need this right to set metadata on an entry at the time it is created.)

The following entry access rights apply to Record Management Edition only.

Record Management Edition Entry Access Right Abbreviation Description
Set Last Review Date SRD The ability to set or reset a review date for a document. This right has no effect when applied to entries not in a record series.
Add/Remove Hold Frz The ability to add or remove a hold from a record.
Set Event Date EvD The ability to see, set, reset, or clear an event date. This right has no effect when applied to entries not in a record series.
Close/Reopen Folder Cls The ability to close a record folder for filing, as well as reopen a closed record folder. This right has no effect when applied to entries not in a record series.
