Business Process Details
You can see the details of each business process that ran on an entry in either the Business Process Details dialog box or the Business Process Pane.
Note: If you view business process details on a shortcut, the details for the target entry will be displayed.
To view business process details
- Select the entry on which a business process was started, or select an entry associated with the business process.
- You can choose to view the business process details in a dialog box in the folder browser or in the Business Process Pane in the document viewer.
- To access the Business Process Details dialog box, right-click the entry and select Business Process Details. You can also add the Business Process Details toolbar button to your toolbar to open this dialog box with one click.
- To access the Business Process Pane, open the entry in the document viewer or open the folder browser's Preview Pane for the entry. If the Business Process Pane is not displayed or you have closed it, you can open it by clicking the Business Processes button on the toolbar.
- If multiple business process instances have run on this entry, select the business process instance you want to see details for in the drop-down menu at the top. The instance displayed by default is the instance with the most recent changes.
- Optional: You can expand or collapse sections of the business process details by clicking the arrows next to each item.
To view business process details

- To access the Business Process dialog box, from the folder browser, right-click the entry and select Business Process Details. You can also access this dialog by adding the Business Process Details... toolbar button to your toolbar to open the dialog box with one click.
- To access the Business Process Pane, open the entry in the document viewer. If the Business Process Pane is not displayed or you have closed it, you can open it by clicking the Business Process Details button on the toolbar.
- If multiple business process instances have run on this entry, select the business process instance you want to see details for in the drop-down menu at the top. The instance displayed by default is the instance with the most recent changes.
- Optional: You can expand or collapse sections of the business process details by clicking the arrows next to each item.
Information Displayed in the Business Process Details Dialog Box
Three categories of information are displayed in the Business Process Details dialog box: general information such as the name of the business process and its status and duration, the next steps for the business process, and the history of the business process on this document.
- General Information
- Business process instance: From the drop-down menu, choose the name of the business process instance you want to view information about. Depending on how the business process is configured in Workflow, the instance name may change as the instance runs.
- Business process icon: Each business process can be assigned a colored icon in Workflow. These icons can help you categorize business processes by type or draw attention to important business processes. The colored icon displayed here is also shown in the Start Business Process dialog box and will be the icon for the business process if you create a toolbar button for it.
- Business Process: The name of the business process.
- Status:The current stage the business process is at, as defined in the business process definition. Statuses can give you an idea of what is going on in the business process (e.g., being processed by Marketing). Additionally, you can search for entries based on the statuses of their associated business processes.
- Duration: The amount of time the business process has been running. Or, if the business process has completed, the amount of time it took to complete.
- Average Duration: The average amount of time it generally takes for this business process definition to run.
- Next Steps
- Next Steps lists the steps that need to be taken next to move through the business process. These steps are defined by the Business Process Step activities used when creating the business process in Workflow. Each step can contain a due date, the people involved (participants), and instructions on what needs to be done. Any steps for which you are included as a participant will be automatically expanded. You can expand or collapse steps by clicking the arrows next to the steps.
- History
- History lists all the steps and status changes that have occurred for that entry in the business process thus far. Each step displays the time it was completed, what event took place, how long it took, and, if relevant, the resolution (e.g., the document was approved by Bob and routed to Susan). You can expand or collapse segments of the history by clicking the arrows next to the steps.
Note: The average duration listed in the History is static. It is the average duration for that step (across all instances) when the step completed. The average duration listed in the general information is dynamic and will reflect the durations of recent business process instances.
