Batch Signature Validation

You can validate signatures on multiple documents at once. This allows you to quickly check the validity of signatures on entire sections of your repository. You can validate signatures on multiple documents by selecting multiple individual documents, by selecting one or more folders, or by selecting documents or folders from a list of search results.

Note: If you select more than one document, or a folder, the batch signature validation dialog box will open even if only one document in the selection or in the folder is signed. To view the standard signature validation dialog box, select only one document to validate.

Validating multiple signatures determines the same things about the selected documents as it does about individual documents: that the document content has not been modified since it was signed, that the certificate can resolve to a trusted root authority, and that the certificate chain does not have any revoked members. If all of these things are true, the signature will be listed as valid; if not, the signature will be listed as invalid. See Valid and Invalid Signatures for more information.

Signature validation for multiple documents will list the number of documents selected, the number that were signed, and the number that are valid and invalid. For each document you can also view the document name, its location in the repository, the number of both valid and invalid signatures, and the time the validation process was run. You can filter to view all signed documents, all unsigned documents, just those documents that have only valid signatures, or just those documents that have at least one invalid signature. You can also save the results as a report, in either HTML format or as a delimited text file. You can also select an individual document and view its signatures to see more detailed information.

To batch validate signatures

  1. Log in to your Laserfiche repository and perform one of the following:
    • Navigate to and select more than one document.
    • Navigate to and select one or more folders. Note that subfolders will also be included.
    • Perform a search, and then select documents and/or folders from the search results.
  2. Open the Tasks drop-down menu, point to Digital Signatures, and select Validate Signatures. The Validate Signatures dialog box will open.
  3. In the Document Count section, review the following:
    • Documents selected: The total number of documents in the selection, both those with signatures and those without.
    • Signed documents: The number of documents in the selection that have been signed.
    • Documents where all signatures are valid: The number of documents that have been signed where all the signatures on the document are valid.
    • Documents with invalid signatures: The number of documents that have been signed that have at least one invalid signature.
    • Unsigned documents: The number of documents in the selection that have no signatures.
  4. In the next section, select the Signed tab to view information about signed documents in the selection, or the Unsigned tab to view information about the unsigned documents in the selection.
    • Signed Documents: In the Signed tab, review or sort by the following:
      • Document Name: The name of the document.
      • Location: The path to the document in the repository.
      • Valid: The number of valid signatures applied to the document.
      • Invalid: The number of invalid signatures applied to the document.
      • Validation Time: The date and time the signature validation process was run.
    • Detailed Signature Information: If you want to view more information about the signatures on a particular document, select the document and click the View Signatures button. See Validating Signatures for more information.
    • Unsigned Documents: In the Unsigned tab, review or sort by the following:
      • Document Name: The name of the document.
      • Location: The path to the document in the repository.
  5. To save the information about the validated documents, click Save Report. See Saving a Signature Report for more information.
  6. Click Close to exit the dialog box.

To batch validate signatures

  1. Log in to your Laserfiche repository and perform one of the following:
    • Navigate to and select more than one document.
    • Navigate to and select one or more folders. Note that subfolders will also be included.
    • Perform a search, and then select documents and/or folders from the search results.
  2. Open the Tasks drop-down menu, point to Digital Signatures, and select Validate Signatures. The Validate Signatures dialog box will open.
  3. From the Validate Signatures dialog box, you can review the following:
    • Documents selected: The total number of documents in the selection, both those with signatures and those without.
    • Signed documents: The number of documents in the selection that have been signed.
      • Documents where all signatures are valid: The number of documents that have been signed where all the signatures on the document are valid.
      • Documents with invalid signatures: The number of documents that have been signed that have at least one invalid signature.
    • Unsigned documents: The number of documents in the selection that have no signatures.
  4. In the next section, select the Signed tab to view information about signed documents in the selection, or the Unsigned tab to view information about the unsigned documents in the selection.
    • Signed Documents: In the Signed tab, review or sort by the following:
      • Document Name: The name of the document.
      • Location: The path to the document in the repository.
      • Valid: The number of valid signatures applied to the document.
      • Invalid: The number of invalid signatures applied to the document.
      • Validation Time: The date and time the signature validation process was run.
    • Detailed Signature Information: If you want to view more information about the signatures on a particular document, select the document and click the View Signatures button.
    • Unsigned Documents: In the Unsignedtab, review or sort by the following:
      • Document Name: The name of the document.
      • Location: The path to the document in the repository.
  5. To save the information about the validated documents, click Create Report. See Saving a Signature Report for more information.
  6. Click Close to exit the dialog box.
