Checking In Documents and Saving Modification to Documents

You can use Laserfiche's Check In/Check Out feature when working with Microsoft Office documents stored in your repository. This will create a persistent lock on the document, so that other users will not be able to modify the document until you are done working on it. You can check a document out from within a Microsoft Office application, check it in, or undo a checkout and discard your changes.

To check out a document in a Microsoft Office application

  1. Open Microsoft Word, Microsoft Excel, or Microsoft PowerPoint. Create or open a document, either from your computer or from within Laserfiche.
  2. Select the Laserfiche tab on the ribbon, and then click Check Out.
  3. Provide a location to save the document locally in the Location option. By default, a folder will be created in your My Documents folder.
  4. Optional: Provide a comment for your check out.
  5. Click OK to check out the document.

Once you have checked out a document, your changes to that document will be saved to your specified local directory rather than to the repository. Changes you have made will be saved to the repository when you check the document in. If the document is under version control, the changes will be saved as a new version; if the document is not under version control, the document will be overwritten. You can check in your document in the Laserfiche Windows client or the Laserfiche web client (see Checking In an Electronic Document), or in the Microsoft Office you are working within.

To check in a document in a Microsoft Office application

  1. Open your checked out document in the appropriate Microsoft Office application.
  2. Select the Laserfiche tab on the ribbon, and then click Check In.
  3. If the document is under version control, you will be prompted to save as a new version. See Save as New Version in Office for more information.
  4. If the document is not under version control, you will be prompted to overwrite the existing document, save as a new version, or save as a new document. Select a save option and click OK.

If you do not want to keep the changes you made while the document was checked out, you can undo its checkout. Your changes to the document will not be saved to the repository, and the document will no longer be checked out and will be modifiable by other users.

To undo a check out in a Microsoft Office application

  1. Open your checked out document in the appropriate Microsoft Office application.
  2. Select the Laserfiche tab on the ribbon, and then click Undo Check Out.
  3. Confirm that you want to undo your check out.
