Text Search
To search through the text of a document, the document’s text must be indexed. Text search can only retrieve documents that have text associated with them. If a document contains only image pages, without text, it cannot be located using text search.
There are several ways to perform text searches beyond the Search Pane's Text search type. You can search by text in the Quick Search or in the Basic Search. However, the Text option provides more nuanced options than either of these.
Tip: Although documents whose text has not been indexed can be found through other types of searches, you should strongly consider indexing those documents. For more information on indexing, see Text Extraction and Indexing. Text searches can be customized with advanced search wildcards.
Text search modes
- Terms: Allows you to search for a single word or phrase. To search for an exact phrase, enclose the search terms in quotes.
- AND: Allows you to search for all documents that contain two specified words or phrases. Use the Second phrase field to enter the second word or phrase.
- OR: Allows you to search for all documents that contain at least one of two specified words or phrases. Use the Second phrase field to enter a second word or phrase.
- NOT: This mode allows you to search for all documents that contain the first specified word or phrase, but not the second one (in the Second phrase field).
- WITHIN: Allows you to search for all documents that contain both specified words or phrases within a particular number of words of each other.
Note: You can use quotes in any of the above searches to specify an exact phrase. For example, to search for a document with the exact phrase "September agenda," type the following in the search box:
"September agenda"
To search for a document that contains both the word "September" and the word "agenda", but not necessarily the exact phrase "September agenda, type the following in the search box:
September agenda
Note: Text searches are not case-sensitive. A search for “TrAnsportaTion” will produce the same results as a search for “transportation.”
Text searches supports the Fuzzy search option, which allows you to find all text that is similar to the text you typed, even if it contains misspellings or OCR errors. Fuzzy searches can help you locate correct results despite typos or OCR errors, but can result in slower searches.The Text search type also includes search word stemming, which allows you to find all words that naturally stem from the root of your original search term. For example, if you searched for the word "joust," you would find documents that contained the word "joust" as well as ones that contained "jousts," "jousted," "jousting," etc. Stemming applies to both individual words and phrases in your search. To perform a text search
- In the Search Pane, click Customize Search and select Text.
- Use the radio buttons to select which type of text search (Terms, AND, OR, NOT, or WITHIN) you want to perform.
- Enter your search terms in the appropriate text box or boxes, depending on the type of search you are performing.
- Click Search.
