Search Pane
The Search Pane allows you to search for entries based on a wide variety of search criteria, which can be combined to pinpoint exactly the document or documents that you need. You can select one or more search types best suited for finding the information you want. (You can also perform searches using a combination of regular and advanced search options.) When combining multiple searches, only search results that satisfy all search criteria will be returned. Most search types support wildcards or advanced search operators.
After performing a search, the results will be displayed in the Contents Pane. A search result can be viewed by double-clicking it. Opening a text search result will take you directly to the matching word or phrase. After performing a search, you can also search within your results by refining your results.
Tip: To increase the flexibility and power of your search, combine individual search types using advanced search syntax.
To search in the Search Pane
- Open the Search Pane by clicking Search Pane from the toolbar, by pressing CTRL + F, or by selecting Search Pane from the View drop-down menu.
- In the Search Pane, click Customize Search and, from the drop-down menu, select the search types you want to use. To remove a search type, click Close , or to temporarily hide or display the search type, toggle the name of the search type. Hidden search types will not be included in your search.
- Configure your search criteria, and click Search or press the ENTER key to run the search.
- The search results will appear in the Contents Pane. To open a particular search result, double-click it. If you are searching for text or annotation text, the context hits will appear in the Context Hits section at the bottom of the Contents Pane. You can double-click the occurrence of the word or phrase from the context list to directly open the document to the page where the search term appears.
- Optional: To refine your search results, specify additional search criteria and click the Refine Results button.
Note: After performing a document or annotation text search, the Contents Pane (displayed to the right of the search pane) will be split in half. The top half will display a list of documents containing the search term, along with a count of occurrences. The bottom half will contain a list of occurrences for the currently selected document, along with a line of context and the page number on which the search term occurs.
- Use the Quick Search in the toolbar to perform a general text, entry name, field, and/or annotation text search without leaving the folder browser.
- To perform more specific or complex searches, click Search in the top left corner to display the Search Pane. By default, the Basic Search and Within Folder search will be displayed. You can click Reset to always display these search types.
Note: You can also use advanced searches for even more search flexibility and power. See the advanced search options of each search type for more information.
- Click Select a search type to add search types. The menu will stay open until you are done selecting search types. To close the menu, click anywhere outside of it. If a search type is not listed in the menu, click More to open the Search Attributes dialog box.
Note: The default search types listed in the Select a search type drop-down menu are Annotation Text, Any Field and Template, Basic Search, Comments, Created By, Digital Signatures, Electronic File, Last Modified, Name, Pages, Stamp Name, Tags, Text, Versions, and Within Folder.
- This Search Attributes dialog box enables you to select search types and fields not listed in the Select a search type drop-down menu. You can choose the Show checkbox next to the corresponding search type or field to display it immediately for searching, or you can select the In Menu checkbox to add the specific search type or field to the Select a search type menu.
- Instead of looking through the list of standard search types and fields, you can apply a filter to find one quickly. Select Basic Search or Fields from the Filter type drop-down menu to view all available search types/fields, and/or type the beginning letters of the search type/field you are looking for in the Start with text box.
Note: If you need to perform Records Management searches, select Records Management from the Filter type drop-down menu.
- Once a filter has been applied, you can select the corresponding Select All checkbox for Show and In Menu to display all the search types/fields in the Search Pane and/or the Select a search type menu. You can quickly clear all the Show or In Menu checkboxes by clearing their respective Select All checkboxes.
- Deselect the search type or field in the Select a search type menu or click the red X next to the search type in the Search Pane to remove it.
- Specify search criteria by entering the information you want to look for into your selected search categories.
- Click Search to perform the search or Reset to revert to the default Search Pane, which displays the Basic Search and Within Folder search types. You can also refine your search results (see below).
The search results will appear in the Contents Pane. To open a particular search result, double-click it. To search within a document, type the search term in the Search document text box and click the magnifying glass or press ENTER.
The context hits will appear at the bottom of the Contents Pane. You can double-click the occurrence of the word or phrase from the context list to directly open the document to the page where the search term appears. If a document contains multiple context hits, you can move between hits by selecting Next Hit or Previous Hit from the View menu. The Image Pane will refocus on the location of the next or previous context hit in the document, and the matching term will appear highlighted both on the image and in the Text Pane.
Note:Next Hit and Previous Hit only toggle between context hits in the document you have selected from the search results. To view context hits from another document, you must return to the Search Results Pane and open that document.
Note: The Next Hit and Previous Hit options are available only if you have opened a document from a search or if you perform a search within a document.
After you have performed a search, you can search within your results using new criteria. This option is especially useful if your first search returns a very large number of results and you want to narrow your results.
Note: The Refine results button will be disabled until you run an initial search.
- After running an initial search, specify the new search types and/or criteria that you want to use to search within your original results.
- Click the Refine results button at the bottom of the Search Pane.
