Briefcasing Your Documents

A collection of documents and folders can be exported as a Laserfiche briefcase: a single file that compresses the data contained in it. When exporting a briefcase, you can only select documents and folders from the folder currently being viewed. To also include documents or folders located in a different folder, shortcuts to the desired documents and folders should be created in the current folder.

Briefcases can be created by selecting the desired documents, folders, and shortcuts, and opening the Export Briefcase dialog box, where you can select a name and a location for the briefcase to be exported.

Note: Briefcase export options can be configured in Options: Export: Briefcases in the Laserfiche Windows client, or Settings: Export: Briefcases in the Laserfiche web client.

Note: Briefcases can consume large amounts of disk space. A typical black and white image page can occupy 30 to 50 KB of disk space; a typical text page can occupy approximately 4 KB.

To export one or more documents and folders as a briefcase in the Windows client

  1. Select each document, folder, and shortcut.
  2. From the File menu, point to Export, and select Briefcase.
  3. If your repository is configured to prompt for reasons for exporting documents, the Reason for this action dialog will open. In the Select a reason option, choose the reason for this export. Optionally, in the Comment option, type a comment for this export. Click OK.
  4. In the File name option, specify a file name for the briefcase.
  5. If you want to encrypt your briefcase so that a password is required to open or import it, perform the following:
    1. Select Encrypt.
    2. Type the password you want to set on this briefcase in the Password option.
    3. Type the password again in the Verify Password option.
  6. Optional: If your repository is configured for digital signatures, you can sign the document upon export by selecting Sign briefcase during export. See Signing Briefcases for more information.
  7. Note: Encrypted briefcases can only be imported into Laserfiche repositories of version 8.2.x or later. If you will need to import this briefcase into a Laserfiche repository of version 8.1.x or earlier, you should not encrypt it.

  8. To configure settings that affect how your briefcase will be exported, click Options and configure the desired settings. When finished, click OK to return to the Export Briefcase dialog box.
  9. Click Save to export the briefcase. If you chose to sign the briefcase, you will be prompted to provide your digital signature information. See Signing Briefcases for more information.
  10. Note: If you encounter errors or warnings in the briefcase process, you will receive an error message and will be able to view the briefcase logs for more information.

To export one or more documents and folders as a briefcase in the web client

  1. Select each document, folder, or shortcut.
  2. From the Export menu select Briefcase.
  3. Specify a name for the briefcase file.
  4. Optional: Select the Encrypt checkbox and specify and verify a password to secure the briefcase file.
  5. Optional: If you are using Internet Explorer and your repoistory is licensed for digital signatures, you can sign your exported briefcase. See Signing Briefcases for more information.
  6. To configure settings that affect how your briefcase will be exported, click More Export Options and configure the desired settings. When finished, click OK to return to the Export Briefcase dialog box.
  7. Click OK to export the briefcase.
  8. Note: If you encounter errors or warnings in the briefcase process, you will receive an error message and will be able to view the briefcase logs for more information.

Tip: To export search results as a briefcase, perform your search and follow the steps above, starting at step 2.

Note: Security tags assigned to entries are retained in briefcase files.
