Cutoff Eligibility
The cutoff eligibility date determines when a record or record folder will become eligible for cutoff in the Laserfiche Windows client application; this date determines the retention period (as opposed to the actual date of cutoff). The cutoff eligibility date is based on
the cutoff instruction associated with the record or record folder. Once cutoff occurs, the retention schedule begins. Certain circumstances modify cutoff eligibility; the
following can change how a cutoff instruction affects a record or record
folder:
- Assigning a different cutoff instruction to a record folder
Changing what cutoff instruction is assigned to a record series or record
folder can affect records stored within them. (Properties must be propagated to affect child records). Any record folders that are already cutoff will remain cutoff, but
cutoff eligibility will be recalculated for any record folders that have yet to be cutoff.
Note: If a record is cutoff and its record series' or record folder's properties are changed and propagated, the record's properties will be updated to reflect the changed properties if the record is uncutoff.
- Modifying
cutoff instructions
Modifying the definition of a cutoff instruction, in the Laserfiche Administration Console, can affect any
records or record folders associated with that instruction that are not already cutoff. Cutoff eligibility is recalculated when the type of cutoff instruction is changed or when the cycle
is changed on a Time or Time+Event cutoff instruction. If an uncutoff record or record folder with an event date
is changed to be associated with a cutoff instruction that does not include events, the
event date(s) will be removed.
Note: If a record is cutoff and its record series' or record folder's properties are changed and propagated, the record's properties will be updated to reflect the changed properties if the record is uncutoff.
A cutoff instruction can use several factors in calculating eligibility. Performing the following actions will change the calculation:
Note: Records with a Superseded or Disposition Action cutoff instruction will be cutoff automatically when their cutoff criteria are met. No user action is needed to cutoff records with this type of cutoff.
