Viewing Processed Documents

After processing, documents will appear in the Document Revision Pane. Identified documents are grouped by their destination, while unidentified documents are listed under the Unidentified Documents node. In many cases, you may want to review processed images for quality assurance. There are different ways to perform this task:

In addition to reviewing scanned images, you can also modify them. Scanned images can only be reviewed for sessions that have not been configured to immediately send documents to the repository. If you do not want to review scanned images, skip to the storage process.

Tip: If a document image has text associated with it, you can draw a rectangle around the desired text on the image in the Display Pane and copy and paste it elsewhere to help define the document (field value, document name, etc.).

Tip: Selecting a document in the Document Revision Pane will select the accompanying data in the Processing Information/Output Pane and vice versa.

Tip: You can search for a specific processed document.

Navigating Processed Documents

After processing, documents will appear in the Document Revision Pane. In many cases, you may want to review processed images for quality assurance. There are different ways to perform this task, one of which is manually navigating from one page to another.

Note: Scanned images can only be reviewed for sessions that have not been configured to immediately send documents to the repository.

To manually navigate processed documents

  1. Select a document in the Document Revision Pane to display its pages in the Display Pane and its thumbnails in the thumbnails pane.

  2. Navigate using one of the following methods:



    • Use the Display Pane's image toolbar.
    • Select thumbnails to move from one page to another. Right-click a thumbnail for additional options.

Navigating to Documents with Errors

After processing, documents will appear in the Document Revision Pane. You may want to navigate to documents with errors so you can correct them before storing the documents in Laserfiche.

Note: Scanned images can only be reviewed for sessions that have not been configured to immediately send documents to the repository.

To navigate to documents with errors

  1. Select an item in the Document Revision Pane.
  2. Navigate using one of the following methods:

    • Use the buttons in the Display Pane's image toolbar to navigate to the previous document with an error or the next document with an error.
    • Use keyboard shortcuts: ALT+SHIFT+LEFT for the previous document with an error and ALT+SHIFT+RIGHT for the next document with an error.

Slide Show

In many cases, you may want to review processed images for quality assurance. The slide show feature enables you to review documents using an automated approach. Quick Fields will display each image for a specified amount of time then cycle to the next image.

Note: Slide show cannot be used on unidentified documents or with document classes that have been configured to immediately send documents to the repository.

To use slide show

  1. After scanning one or more images, select Start Slideshow from the Action menu.

  2. Quick Fields will cycle through images on the screen according to the session's slide show settings.

Tip: To manually stop the slide show at any time, press ESC.

Zoom Fields

Zoom fields are designed to speed up the process of verifying or manually populating data in a field. When a field is designated as a zoom field, the Display Pane will zoom to a specific region on a page whenever a user places their cursor in that field.

Example: After documents are processed, Summer reviews them for quality assurance. Part of this process includes verifying that a social security number has been successfully extracted from the document and entered into a field. Since this data is always located in the top right portion of the page, Summer creates a zoom field. When Summer places her cursor in the corresponding field, Quick Fields will automatically zoom to the portion of the page that contains the social security number.

Note: Zoom Fields are only available for imaged documents.

To create a zoom field

  1. Right-click a document class and select Configure fields. You can also select a document class, then click Configure fields in the bottom of the Tasks Pane on the right.
  2. In the Configure fields dialog box, select a field and click Zoom

  3. In the Configure Zoom Fielddialog box, under When the field is selected, you can select Stay on selected page and Quick Fields will stay on the page the operator is currently viewing. Select Go to page and specify a page if you want to be taken to the page that contains the region Quick Fields should zoom to.

    Note: If Go to Page is selected but the specified page does not exist in the document, Quick Fields will stay on the current page.

  4. Under Highlight the image when zoomed, specify whether the zoom region should be highlighted. This feature enables you to visually distinguish the zoom region from the rest of the page.

    • Transparent: No highlight will appear.
    • Highlighted with this color: Select a pre-defined highlight color from the drop-down menu or select Choose a color for more color options.
  5. Under Zoom in until the region is ___percent of the size of the image pane, you can define how much of the image pane the zoom field region will occupy. For example, if you choose to zoom in until the region is 100% of image pane, the region will zoom in and cover either the entire width or height of the image pane (whichever is met first). If you choose to zoom in until the region is 75% of the image pane, it will zoom in 75%, leaving space around the region. This can give more context to the region by allowing you to see more of the image.
  6. Under Zoom to and highlight this region, manually enter coordinates for the region. In most cases, it is easier not to configure specific coordinates and to define the region by dragging and dropping the zone on the image. Ensure the Enabled option is selected if you want the zoom field to zoom.
  7. Click OK to close the Configure Zoom Field dialog box.
  8. If necessary, create additional zoom fields.
  9. Click OK to close the Configure Fields dialog box.
  10. Zones will appear on the image. If necessary, drag and drop them as you see fit. You can also increase/decrease the size of the zone using its black resize handles.

To modify a zoom field, do one of the following

  • With the document class selected, double-click on the zoom field on the image.
  • With the document class selected, right-click on the zoom field on the image, hover over Zoom Field, and select Edit or Delete.
    Hover over Zoom Field, and select Edit or Delete.
  • Right-click anywhere on the image that is not a zoom field, hover over Zoom Fields, hover over the zoom field you want to edit and select Edit or Delete.

    Note: You can quickly enable or disable zoom fields without deleting them by toggling the Enabled option on or off in either context menu mentioned above. You can also access this same Enabled option in the Configure Zoom Field dialog box.

To use zoom fields

  1. Configure zoom fields or open a session that has zoom fields configured.
  2. Scan documents.
  3. Select a document using the mouse or keyboard shortcuts.
  4. In the Tasks Pane, select a field that has been configured as a zoom field.
  5. The image will zoom to the configured zone. Review or edit the information in the field as needed.

Searching for Processed Documents

After processing, documents will appear in the Document Revision Pane. You can find a specific document, regardless of whether it has been identified or unidentified, by searching for it in the Find Documents Pane.

Note: Scanned images will only appear in the Document Revision Pane, and will only be searchable in Quick Fields, for sessions that have not been configured to immediately send documents to the repository.

To search for processed documents

  1. Select the Find Documents Pane.

  2. Next to Look for, enter a search phrase.
  3. Select one or more of the following search types: Path, Fields, Tokens, Text. Document names will always be included.

    Note: To be retrieved, a document can meet any one of the search criteria. In other words, this feature uses an OR search to find documents, meaning one OR the other OR all of the selected types must be met. Partial matches will be returned. Do not enter wildcards or regular expressions.

    Tip: David is looking for documents whose names or paths contain a specific number. He should enter his criteria and select Path to find documents whose names contain the number, whose paths contain the number, and/or whose names and paths contain the number.

  4. Click Find Now.
  5. Documents that match the specified criteria will appear. Select a document or documents, right-click, and select one of the following options.



    • Delete: Permanently deletes the documents.
    • Store: Stores the documents in the repository.
    • Bookmark: Bookmarks documents for further review.
    • Go To Document: Opens the first selected document to its first page in the Display Pane.
