Trustees

Trustees are users, groups, or managers that workflows interact with and are provided by trustee directories. Trustees are organized in Laserfiche, LDAP, or Laserfiche Directory Server trustee directories.

Interacting with trustees

There are several ways that a workflow can interact with Laserfiche, LDAP, and Laserfiche Directory Server trustees. A workflow can

  • Assign Laserfiche repository rights to a user or group. Learn more.
  • Send an e-mail to a user or group. Learn more.
  • Notify business process participants of pending work. Learn about sending e-mail notifications or providing instructions in the Laserfiche client applications.
  • Route a Laserfiche entry to a user or group's folder. Learn more.
  • Assign Workflow-specific permissions and access rights to a user or group. Learn more.
  • Find a user or group and retrieve information associated with that user or group. Learn more.
  • Set a user as an entry's owner. Learn more.
  • Create a Laserfiche Directory user.* Learn more.
  • Assign a User License in a Laserfiche Directory.* Learn more.
  • Create a Laserfiche Directory group.* Learn more.
  • Assign a trustee to groups in a Laserfiche Directory Server.* Learn more.
  • Delete a Laserfiche Directory trustee.* Learn more.

*Note:These Workflow interactions are only available with Laserfiche Directory Server trustee directories.

Using trustee properties

You can assign each trustee specific properties so that when a workflow looks for a trustee based on one property, it can retrieve additional information about the trustee. By default, these are the trustee properties that you can assign values to:

  • User Name*
  • Department*
  • Organization*
  • Display Name
  • Email address
  • Default Folder
  • First Name
  • Last Name
  • *Note: These trustee properties are only available with Laserfiche Directory Server trustee directories.

Tip:You can create additional, custom properties (advanced).

Example: A workflows routes a document to Jill. If you have specified Jill's properties, then, using tokens, you can easily configure the workflow to send the document directly to Jill's default folder and use Jill's display name in an e-mail notification.

Adding trustee directories

Workflow will only interact with a Laserfiche, LDAP, or Laserfiche Directory Server trustee directory if it appears in the Workflow Administration Console's Trustee Directories node.
