Import and New Document Dialog Box
The Import to Laserficheor New Document dialog box will open automatically when you create or import a new document. See Adding Content to Laserfiche for details about the various methods of creating and importing documents.
There are several possible tabs for the Import to Laserfiche or New Document dialog box. The tabs that appear depend on the import process you are performing. For instance, the Attachments tab is only displayed when importing an email from Microsoft Outlook, and the Versions tab is only displayed if you are importing a document as a new version of an existing document.
The possible tabs in the Import or New Document dialog box are
The General tab of the Import to Laserfiche/New Document dialog box allows you to configure the name of the document, the folder and volume in which it will be saved, and whether the new document will have text generated and indexed.
Name: The name to be assigned to the document to be created. If a document with the specified name already exists, a sequential number enclosed in parentheses will be added to the new document's name. You can specify a new name by typing it in the box, and can use tokens to insert dynamic information.
Import Profile: The import profile that you want to use when importing the document, if any. See Import Profiles for more information.
Folder: The Laserfiche folder where the document will be created. By default this will be the folder you had open when you chose to create or import the document, but you can click the Browse button and navigate to another folder if you want to create the document elsewhere.
Volume: The volume where the new document will be stored. If a default volume has been configured for imported documents in New Document Options dialog box, that volume will be selected by default. You can select another volume by selecting it in the drop-down menu.
Classification Level: The VERS classification level for the document. You can select another classification level from the drop-down menu. Only classification levels less than or equal to the parent folder's classification level will be selectable. If the parent folder has no classification level, this option will not be visible. See Classification Levels for more information.
Note: This property is only displayed for documents whose parent folder has been assigned a classification level.
Generate searchable text: Specifies whether text will be generated for the document. Text can be read from images using OCR, or from electronic files using text extraction. If you clear this option, no text will be generated; note that this will prevent users from finding the document using text search, as there will be no searchable text for the document. See Generating Searchable Text for more information.
Generate Laserfiche pages: Specifies whether TIFF image pages will be generated for an imported PDF file. If selected, each page in the PDF will be converted to a Laserfiche image page, and the document can be worked with in the document viewer like other imaged documents. See Generating Pages for more options available for this feature.
Note: This option is only available for PDF electronic files.
Index all pages: Specifies whether the text associated with the document being created will be indexed. Text searches can only find text that has been indexed. If Laserfiche has been configured to index all new documents, this checkbox will be selected and disabled.
The Fields tab of the Import to Laserfiche/New Document dialog box allows you to configure field and template information for your new document. This dialog is identical to the Fields tab in the Metadata dialog box. See Viewing and Modifying Fields and Templates for more information.
The Attachments tab of the Import to Laserfiche/New Documents dialog box allows you to specify attachments will be handled when importing email messages (.msg files) from Microsoft Outlook.
Note: This tab will only be displayed if you are importing an email message with an attachment from Microsoft Outlook. Other document types, and emails without attachments, will not display this tab.
Select how the attachments should be imported to Laserfiche: Lists all the attachments and embedded items (such as image files) in the document, and allows you to determine how to handle them.
- Leave in Message: Keep the file as an attachment to the email message. (If an attachment is embedded in the message, you may not be able to clear this option.)
- Separate Document: Save the attachments as separate documents in Laserfiche.
- Link from message to attachment: Specifies the document relationship used to link the original message to the attachment.
- Link from attachment to message: Displays the reverse relationship for the selected document relationship.
Note: You can select either option, both options (in which case the attachment will both remain in the original message file and will be stored separately), or neither option (in which case the attachment will not be imported at all).
Apply settings to attachments that are stored as separate documents: Whether document settings such as the destination folder, volume, and fields should also be applied to the attachments that are imported as separate documents.
Message should be linked to attachments: Whether attachments imported as separate documents should be connected with their originating email using a Laserfiche document relationship.
The Distribution List tab of the Import to Laserfiche/New Documents dialog box allows you to specify whether a distribution list will be created for the imported email.
Note: This tab will only be displayed if you are importing an email message from Microsoft Outlook.
File distribution list: When this option is selected, the distribution list for the email message will be saved along with the email, as a text file.
Message should have link with distribution list: Whether the distribution list should be connected with its originating email using a Laserfiche document relationship.
- Link from message to distribution: Specifies the document relationship used to link the original message to the distribution list.
- Link from distribution list to message: Displays the reverse relationship for the selected document relationship
The Tags tab of the Import to Laserfiche/New Document dialog box allows you to configure tag information for your new document. This dialog is identical to the Tags tab in the Metadata dialog box. See Viewing and Modifying Tags for more information.
The Versions tab of the Import to Laserfiche/New Document dialog box allows you allows you to provide version comments and labels when importing a document as a new version of another document.
Note: This tab will only be displayed if you are importing a document as a version of an existing document. It will not be displayed if the document is not under version control or if it will be created as the first version.
Comments: The comments to be saved for the current version of the document.
Labels: The labels (separated by a semicolon) to be saved for the current version of the document.
The Signatures tab of the Import to Laserfiche/New Documents dialog box allows you to apply a digital signature to the new document that you are creating or importing.
Note: This tab will only be displayed if your repository is licensed for digital signatures.
Tip: You can configure a default signature for imported documents. See New Document Option: General for more information.
Sign the document: Select this option to sign the document upon import, or clear it if you do not want to sign the document.
Signing image: Displays the signing image for the signature that will be applied to this document. To select a signing image for your digital signature, click the Select button. See Signing a Document for more information.
Signing certificate: Displays the signing certificate information for the signature that will be applied to this document. To select a signing certificate for your digital signature, click the Select button. See Signing a Document for more information.
Signing reason: Optionally, type a reason for signing this document.
