Migration Issues and Resolutions

When you run the Laserfiche Cloud Migration Readiness Assessment Tool, any items that cannot be directly migrated from your self-hosted installation to Laserfiche Cloud, or that cannot be rebuilt exactly the same way in Laserfiche Cloud, will appear with a code next to them. The assessment tool provides a brief description of the item, but for more detailed instructions on how to migrate the self-hosted item to its Laserfiche Cloud equivalent, find the item code below.

LFMIG-1000

Starting workflows with Business Process Rules is not currently supported in Laserfiche Cloud, but your process can be redesigned to achieve similar functionality.

Legacy Laserfiche Business Processes have been replaced by the current version of Business Processes in Laserfiche Cloud.

Preparing to Migrate

  1. Make a note of the security set on the rule (which users are allowed to start the business process) and the requirements for the rule (what conditions need to be met for users to start the business process).
  2. Determine if the workflow associated with the rule can be started based on a condition or schedule.
    1. If it can be started based on a condition or schedule, create a condition or schedule starting event in Laserfiche Cloud.
    2. If it needs to be started manually, Laserfiche Cloud offers a few options:
      • Create a business process that starts with a generic start event and contains a Workflow service task that starts the workflow.
      • Begin configuring a Connector profile, using the Start workflow action, that embeds a button in whatever application you want users to start the workflow from. You will need to connect the profile to the workflow after migration.

After Migration

  • If you created a condition or schedule starting event to start the workflow, edit the starting event to invoke the migrated workflow.
  • If you created a business process to start the workflow, edit the Workflow service task to connect to the migrated workflow and publish the business process.
  • If you created a Connector profile to start the workflow, edit the profile to connect to the migrated workflow and finish the profile wizard. Then deploy the profile to the users you want to be able to start the workflow.

LFMIG-1001, 1002, & 1003

Route Entry to Folder, Route Entry to Group, and Route Entry to User activities are not currently supported in Laserfiche Cloud, but your workflow can be redesigned to achieve similar functionality.

The components of the Route Entry to Folder, Route Entry to Group, and Route Entry to User activities need to be replaced with individual activities.

Preparing to Migrate

  • If you are migrating a Route Entry to Group activity, ensure the group you are routing to has been recreated as a Team in Process Automation.
  • If you are migrating a Route Entry to Group or Route Entry to User activity, create a business process in Laserfiche Cloud that emails a link to the routed document or assigns a task to the user or team.

After Migration

  1. Replace the routing activity with the following activities (as needed), and ensure they are all acting on the same entry.
  2. You may want to put all these activities in a Sequence activity to keep this section of your workflow organized.

LFMIG-1004

Assign Geographical Location activities are not currently supported in Laserfiche Cloud.

Related Options

  • Business Process Forms have a geolocation field option that can automatically retrieve and store the location where the form is being filled out.
  • Replace the Assign Geographical Location activity with a Wait for Entry Change activity and have a user manually enter a geographic location.

Review Fill Out PDF Form activities to see if they can be replaced with a Run Rule activity that runs a document merge.

Preparing to Migrate

  1. Upload the PDF form to a document merge rule.
  2. Add the same fields as you have configured for the Fill Out PDF Form activity.
  3. Test sample values to ensure the rule matches the Fill PDF Form activity's behavior.

After Migration

  1. Add the Run Rule activity to your workflow and select to run the document merge rule you created before migration.
  2. Publish and Test your workflow to ensure it runs as expected.

LFMIG-1006

Migrate Entry activities are not needed since there is only one volume in Laserfiche Cloud.

Laserfiche Cloud’s improved architecture means this activity is no longer necessary.

LFMIG-1007

PDF Metadata activities are not currently supported in Laserfiche Cloud.

Preparing to Migrate

  1. Create a Script Rule in Process Automation.
  2. To run scripts, you will also need to configure a Remote Agent.
  3. Test the Script Rule you created and ensure it runs as expected.

After Migration

  1. Add the Run Script Rule activity to your workflow.
  2. Publish and Test your workflow to ensure it runs as expected.

You can route documents and assign tasks to users with business processes in Laserfiche Cloud using the User Task activity.

Preparing to Migrate

  1. Note the users your workflow needs to interact with and what actions they need to take.
  2. Create a business process that assign tasks to these users as needed.
  3. In the business process's Process Details, select Allow this business process to be started by other processes.
  4. Define input and output parameters to pass information to and from the workflow.
  5. Publish and enable the business process.

After Migration

  1. Add the Invoke Business Process to your workflow and select the business process you created before migrating
    • Select Wait for the invoked process to finish running before continuing to run the current workflow if you want to use information that results from the business process in your workflow.
  2. Find any activities that use the tokens created by the Find Group, Find Manager, or Find User activities and update them to use output parameters from the business process instead.
  3. Publish and Test your workflow to ensure it runs as expected.

  3. Publish and Test your workflow to ensure it runs as expected.

Search Repository activities in Laserfiche Cloud do not support all the same search criteria.

Preparing to Migrate

  • Make a note of the entries you want to search for with this activity.

After Migration

  1. Update the Search Repository activity to build out the search you want to perform using the activity's condition editor. Advanced search syntax is not supported in the Search Repository activity in Laserfiche Cloud.
  2. Note: If you are unable to search for the documents you want using the Search Repository activity in Laserfiche Cloud, you may need to redesign your workflow or use the Laserfiche API.

  3. Publish and Test your workflow to ensure it runs as expected.

Verify PDF Signatures activities are not currently supported in Laserfiche Cloud.

  2. In the Options property box, select the Generate URLs to the document option.
  3. Use the resulting %(FindEntry_OutputEntry_WebAccessURL) wherever you want to enter the URL.

Generate WebLink URLs activities are not currently supported in Laserfiche Cloud, but your workflow can be redesigned to achieve similar functionality.

In Laserfiche Cloud, WebLink has been replaced by Public Portal.

After Migration

  1. Add the Find Entry activity to your workflow.
  2. Using tokens from that activity, construct a Public Portal URL in the following format: https://portal.laserfiche.com/Portal/DocView.aspx?id=%(FindEntry_OutputEntry_ID)&repo=%(FindEntry_Repository)

  1. Create a Web Request in Laserfiche Cloud that matches the HTTP Form Post activity.
  2. Configure a Remote Agent to run the web request.

After Migration

  1. Replace the HTTP Form Post activity with the Run Web Request activity in your workflow.
  2. Publish and Test your workflow to ensure it runs as expected.

LFMIG-1032, 1033, & 1034

Query Data, Insert Data, and Update Data activities are not currently supported in Laserfiche Cloud, but your workflow can be redesigned to achieve similar functionality.

Reading and modifying external databases is supported in Laserfiche Cloud through query rules. Replace the Query Data, Insert Data, and Update Data activities with Run Rule activities.

Note: The Run Rule activity works with both lookup tables and external databases.

This functionality change applies to the Query Data, Insert Data, and Update Data activities.

Due to security constraints in accessing systems behind firewalls, accessing ODBC data sources requires additional configuration in Laserfiche Cloud.

Preparing to Migrate

  1. Inventory the data sources used in your workflows.
  2. Collect login information for these data sources.
  3. Configure a Remote Agent in Laserfiche Cloud.
  4. Create a Query Rule in your Laserfiche Cloud account for each query used in your self-hosted Workflow definition.
  5. Select whether you want to query a lookup table or an external data source (e.g., database). If you choose to query a data source, specify the data source that you want to query.
    •  Use the link next to each option to go to the list of lookup tables or data sources configured in Laserfiche Cloud. If the lookup table or data source you want to insert data into isn't already added to those lists, add it now. The following external databases are supported: SQL, PostgreSQL, MySQL, and CSV.
    • To run queries on a database behind a firewall, you will also need to configure a Remote Agent so that Laserfiche Cloud can securely communicate with the database.
  6. Configure and publish your query.

After Migration

  1. Add the Run Rule activity to your workflow, and select the query you just created in the activity's properties.
  2. Configure the Input Values in the activity with the values you want inserted into the lookup table or query.
  3. Publish and Test your workflow to ensure it runs as expected.

LFMIG-1035

Create Checkpoint activities are not currently supported in Laserfiche Cloud.

Laserfiche Cloud’s improved architecture removes the need for checkpoints.

LFMIG-1036

SDK Script activities are not supported in Laserfiche Cloud, but your workflow can be redesigned to achieve similar functionality.

Replace the SDK Script activity with the Run Script Rule activity, and review how scripts will run.

Preparing to Migrate

  1. Create a Script Rule in Process Automation.
  2. Copy your script from the Workflow script editor.
  3. Add your script to the rule editor in your new Script Rule.
  4. Tip: Laserfiche github has script examples.

  5. To run scripts, you will also need to configure a Remote Agent.
  6. Test the Script Rule you created and ensure it runs as expected.

After Migration

  1. Add the Run Script Rule activity to your workflow in place of the SDK Script activity.
  2. Publish and Test your workflow to ensure it runs as expected.

LFMIG-1037

Simple Synchronization Sequence activities are not needed in Laserfiche Cloud.

Laserfiche Cloud’s improved architecture means this activity is no longer necessary.

LFMIG-1038, 1039, 1040, 1041, 1042, & 1043

Associate Entries, Business Process Step, Update Business Process, Update Participants, Update Step Due Date, and Update Step Instructions activities are not supported in Laserfiche Cloud.

Laserfiche Cloud does not support the legacy Laserfiche business processes that these activities interacted with. Instead, Laserfiche Cloud has improved business processes capabilities that allow for flexible task assignment, due dates, priorities, and more.

  1. Open the JavaScript pane in the Forms Designer.
  2. Select the Inline tab.
  3. Review the JavaScript and ensure it's affecting the form as expected.
